Job Summary:
This position will assist the IOA Director and IOA Administrator with budget and proposal activities and general administrative duties for the $62 million Midlife in the United States (MIDUS) longitudinal study. The MIDUS grant is a U19 with an adjunct U01 mechanism. The work is performed under the general supervision of the IOA Administrator. This position requires excellent fiscal and communication skills, the ability to deal with administration of complex, multicomponent grants, excellent problem-solving abilities, and the ability to work independently and manage multiple responsibilities efficiently. The position comes with varied tasks, including organizing the annual MIDUS Meeting, which involves communicating with participants; managing accommodations, meals, and venue; and assembling the agenda. The capacity to engage in cordial and productive interactions on a regular basis with a wide array of investigators from across UW-Madison and across the United States is key.
Key Job Responsibilities:
- Serves as a liaison and expert resource for researchers regarding the interpretation of policy and procedure related to overall sponsored project management
- Works collaboratively with researchers to prepare non-technical materials for proposals, drafting contracts or agreements for review, and/or advising award setup
- Leads researchers in the preparation and/or maintenance documentation, financial management, and/or reporting requirements related to sponsored grants, contracts, or agreements
- May identify funding opportunities and disseminate to principal investigators
- Maintains and monitors grants and contract budgets
- Assures compliance with grant, contract or agreement requirements and determine whether objectives are being met
- Plans and orchestrates annual meetings among MIDUS researchers, including scheduling logistics, securing resources, and serving as the primary point of contact

Compensation:
The starting salary for the position is $72,000, but is negotiable based on experience and qualifications.

Required Qualifications:
- Minimum of two years’ Research Administrator experience in a university setting.
- Superior organization, planning, and time management skills necessary to manage multiple complex tasks.
- Excellent writing skills and outstanding verbal communication skills required to communicate complex regulations and procedures to people with varying roles.
- Comprehensive working knowledge of Excel, Word, and Adobe Acrobat.
- Experience with accounting policies and procedures, including purchasing, travel, reimbursements, cost transfers, cost share.
- Knowledge of NIH regulations and procedures, including, but not limited to development of budgets for continuation and renewal proposals and electronic submissions (Cayuse, eRA Commons); expenditures; and reporting.
- Self-learner with the ability to analyze and audit own work for accuracy including identification of errors as well as problem-solving the solutions.
- Quick study with demonstrated ability to work effectively in a collaborative, collegial team environment.
Preferred Qualifications:
- Budget management experience of federally-funded projects (especially large, complex mechanisms).
- Experience with UW or other university pre- and post-award grant management including budget preparation.
- Knowledge of UW financial and research administration systems, such as WISER, RAMP (Huron Research Suite), ECC, and Workday.
Education:
Bachelor’s Degree preferred.
