Position Highlights

The University of Arizona seeks a highly experienced Registrar. Reporting to the UAMA's Director, the Registrar implements and utilizes best practices, policies, and procedures for accurate record keeping of objects in the museum's collection and ensures safe care of objects in the museum's holdings as well as objects on loan. The Registrar will serve a leadership role in the critical care and conservation of one of the UAMA's oldest and largest works in the collection, our altarpiece from the Ciudad Rodrigo; a ten-year collaborative project with the Kress Foundation and other conservators. This position will also serve on the museum's Acquisitions Committee, Loans Committee, as well as the University's Public Art Committee, advising on best care, process and policies. Some evenings/weekends and occasional travel/international travel is required.

Duties & Responsibilities

Collection Management:

  • Oversees the management and storage of the museum's diverse collection of paintings, prints, and sculptures.
  • Oversees and administers all object accessions including processing gift documents and appraisals, recording object information, photographing objects, determining proper housing for objects, and conducting annual inventories.
  • Collaborates with Dean of College of Fine Arts, Director of the Museum of Art, and Facilities Management to administer public art accessions, evaluate current policies, record object information, determine installation practices and conduct annual inventories.
  • Collaborates with the Curator and Director on determining treatment, preservation, and care of the collection; Orders supplies for object storage and collections care.
  • Manages the collections database (PastPerfect), including data clean-up, staff training, and the creation of user guides and reports, and works with staff to ensure data standardization.
  • Maintains current confidential valuations of art and works with University of Arizona Risk Management to ensure the appropriate fine arts coverage for the collection while on site and in transit.
  • Travels nationally and internationally as courier as required to oversee unpacking, installation, condition reports, and/or repacking.
  • Provides assistance to provide access to objects from the collection for students, faculty and other researchers.
  • Oversees the framing, crating and reinstallation of the UAMA's altarpiece.

Exhibition Management:

  • Works with UAMA's exhibition staff to coordinate exhibitions, including loan agreements, transport, installation, condition reporting, insurance, and storage.
  • Manages all shipping needs for incoming and outgoing loans, long-term and temporary loans. Schedules all art-related shipping, determines appropriate shipping methods, dates and packing needs, and determines crating needs for fabrication.
  • Collaborates with UAMA's exhibition staff in the planning, scheduling, design, and production of all exhibitions as pertains to collection and loaned objects.
  • Drafts and reviews loan agreements with lenders and participating institutions. Liaise with University Contracts Office to negotiates terms and monitors compliance and payment schedules.
  • Assesses lender requirements and fees for loans, and negotiates terms in the best interest of UAMA in consultation with Director. Communicates terms and special requirements of loans to appropriate staff and staff of participating institutions, and monitors compliance with such terms and conditions.
  • Maintains facility reports. In conjunction with facilities management staff, monitors environmental conditions in galleries and vaults.
  • Supports exhibition staff in the safe packing and handling of artwork during installation and deinstallation of exhibitions.

Administration:

  • Develops and manages departmental budget, ordering supplies, creating and recording purchase orders, and processing invoices.
  • Reviews and manages all rights and reproduction requests.
  • Develop and write grant proposals to secure funding for improvements to collection storage infrastructure, including a space analysis, storage furniture and materials.
  • Serves as institutional contact for outside vendors and/or contractors.
  • Contributes to stewarding donor and other stakeholder relationships, working closely with UAMA's director and other leadership positions and Arizona Arts' philanthropy team.
  • Additional duties as assigned.

Service and Professional Development:

  • Participates in extra-departmental and University-wide projects, committees, and service to the UAMA as relates to the position.
  • Cross-training, collaboration, and shared services with the Center for Creative Photography.
  • Maintains professional relationships and contributes to knowledge of best practices and current developments in the field.
  • Represents UAMA as assigned at professional conferences and continues professional development through committee participation, publications, workshops, seminars, and/or conference presentations.
  • Recruits, trains, and provides functional supervision and professional guidance to volunteers, interns, and student employees.
  • Other duties as assigned.

Physical Requirements:

  • Ability to lift/move/carry up to 25lbs.

Minimum Qualifications

  • Master's degree in a relevant field required or equivalent advanced learning attained through professional level experience.
  • 8 years of progressively complex museum registration experience, or equivalent combination of education and work experience.
  • Valid driver's license and the ability to obtain and maintain a U.S. passport are required, as the position involves occasional domestic and international travel.

Preferred Qualifications

  • Advanced experience with collections management software, specifically PastPerfect.
  • Experience at an academic museum or gallery; related experience in a museum or cultural heritage institution with a wide range of collections and materials.
  • Experience at a public university.
  • Experience with or knowledge of grant writing and fundraising.
