Office Coordinator
Job Summary
The MCG Office of Admissions Office Coordinator is a customer service-minded, enthusiastic individual who serves as the frontline of contact for the Office of Admissions. The Office Coordinator performs a variety of duties to support the overall function of the office which is responsible for recruiting and matriculating one of the largest medical school classes in the nation. This position requires excellent communication skills and time management as there is a significant amount of contact with prospective students, current medical students, and faculty members. The Office Coordinator duties include: 1) Manage front desk operations for the MCG Office of Admissions 2) Provide Administrative Support to the MCG Office of Admissions Leadership Team 3) Assist with applicant communication and data management 4) Assist with Multiple Mini-Interviews 5) Manage travel processing and reimbursement 6) Assist with MCG Office of Admissions Events 7) Assist with preparation for Admissions Committee meetings 8) Prepare annual service letters.
Responsibilities
Front Desk Operations
- Answer and triage incoming phone calls
- Direct calls to appropriate departments
- Provide general information on Admissions process
- Maintain Office of Admissions email account (~100 emails daily)
- Submit requests for office maintenance and cleanliness
- Update office correspondence
- Manage office log and assets
- Office supply ordering and budget
- Interdepartmental requests (IDRs)
General Administrative Support and Budget Assistance
- Maintain calendars for leadership team
- Office calendar management
- Submit leave requests
- Schedule meetings
- Prepare budget for recruitment materials
- Store invoices/contracts
Applicant Communication and Data Management
- Upload transcripts to AMP system
- Upload applicant info
- Screen pre-matriculation requirements
- Campus assignment forms
- Enter IDs on reports
- Prepare Crystal reports
Multiple Mini-Interviews (MMI) Support
- Prepare documents for 32-48 applicants weekly
- Create applicant logs
- Prepare interviewer needs
- Maintain confidentiality forms
- Review lawful presence docs
- Time keeper during interviews
Travel Processing
- Submit travel auths and reimbursements
- Rental reservations
- Conference registrations
Event / Recruitment Support
- Parking for guests
- First look tours
- Visit Day (largest event)
Admissions Committee Support
- Schedule 30 meetings annually
- Secure invites
- Annual training packets
Service Letter Creation & Distribution
- Create thank you letters for participants
Required Qualifications
Educational Requirements: High School Diploma, GED or equivalent with 9 years office support OR Associate's Degree with 6 years.
Preferred Qualifications
Bachelor's Degree.
Knowledge, Skills, & Abilities
Excellent customer service, interpersonal skills. Proficiency with Microsoft Office. Ability to multitask, meet deadlines, maintain confidentiality.
Shift/Salary/Benefits
Shift: Days/M-F. Pay Band: 5. Salary: $17.88/hour - $20.44/hour. Benefits include health insurance, retirement, vacation, etc.
