Office Manager-Business Operations

Tennessee State University Campus Operations and Planning, Design & Construction invites applications for the position of Office Manager.

The Office Manager will provide administrative support for two offices: Planning Design Construction and Bus Operations. The goal is to ensure efficient operation and maintain an on-site presence.

This position supports the Assistant Vice President and staff members through a variety of tasks related to fiscal management, procurement, document digitization, student record management, office management, and collection of data for reporting purposes, along with grant projects.

Characteristic Duties and Responsibilities:

  • Communicates amongst staff with current and prospective partners on university matters which impact the institution
  • Initiates purchases, prepare contracts, facilitates travel and reimbursements, balance budget for state, travel and grant accounts
  • Assists with maintaining the accuracy of the regulatory submissions by observing a recurring review schedule
  • Facilitates and Instructs training sessions for new hires in the department for successful on-boarding
  • Assists Directors with fiscal management, clerical duties and arranging necessary meetings as related to benchmarks and routine reporting
  • Exercises independent judgment when assisting with special projects, either through resolving issues, referring them to the appropriate resource including administrator or associate
  • Drafts correspondence, maintains office calendar and event calendar for the division
  • Oversees the work of student workers ensuring accuracy, efficiency and productivity
  • Performs other related duties as assigned

Knowledge/Skills/Abilities:

  • Must have the ability to use both PC and iOS equipment, mobile devices, automation for paperless operation, along with public speaking skills.
  • Excellent written and oral communication skills.
  • Must understand higher education systems, policies and procedures, along with understanding what is needed in event planning, office management and basic media production.
