Unit Description

The goal of Knight-Hennessy Scholars (KHS) is to select and support a multicultural and multidisciplinary cohort of scholars, and prepare them for leadership roles in academia, industry, government, nonprofits, and the community at large. Leadership in the modern world requires multicultural and multidisciplinary understanding. Thus, KHS brings together scholars from around the world and from many disciplines to create a learning environment that will help prepare all our scholars for leadership in a highly diverse and complex world. Through its King Global Leadership Program, KHS seeks to strengthen values, build skills, develop knowledge, and create a community that will lead to lifelong relationships with a network of global leaders.

JOB PURPOSE

Knight-Hennessy Scholars seeks an Operations and Communications Coordinator for administrative, marketing, and operational support, reporting to the Director of Operations.

CORE DUTIES

  • Draft and/or generate routine communications; coordinate production (creating, formatting, copying, etc.) and dissemination of documents, such as presentations, complex reports, brochures, and videos.
  • Maintain approved content on websites and social media.
  • Support the work of the Marketing team with analysis and reporting, filming and photography, preparing display advertising, and supporting key marketing projects.
  • Process and monitor routine financial transactions for KHS credit card and travel cards, purchase orders, contracts, supply orders, and scholar-aid payments which may include researching and resolving discrepancies.
  • Monitor Stanford finance and travel policy changes, and update KHS staff and guides as needed.
  • Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of finance policies and procedures.
  • Plan and schedule visits from external speakers based on consultation; resolve calendaring conflicts, and arrange travel in compliance with unit, university, and sponsor policies.
  • May guide and train student and/or contingent workers including scheduling, assigning, and prioritizing workloads, setting appropriate deadlines, and reviewing work for quality and timeliness.
  • Assist Marketing, Program, Operations, and Admission groups with administrative tasks as needed and approved by manager.

MINIMUM REQUIREMENTS

Education & Experience

High school diploma and three years of administrative experience, or combination of education and relevant experience. College degree preferred.

Knowledge, Skills and Abilities

  • Proficient computer skills and demonstrated experience with office software, graphic design and video editing software, and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.
  • Resourceful, proactive, and takes initiative to solve problems.

PHYSICAL REQUIREMENTS

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $31.97 to $38.40/hr. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
