Operations Coordinator
The Opportunity
We are seeking a proactive, detail-oriented, and service-focused Operations Coordinator to join our team at AAP NYC. This pivotal role reports directly to the Executive Director and acts as the primary point of contact for students, faculty, and visitors, ensuring that AAP NYC remains an accessible, organized, and supportive environment. The Operations Coordinator will provide essential operational support, facilitating communication between the NYC campus and Ithaca-based staff, faculty, and departments. You'll play a key role in creating an inclusive and collaborative atmosphere while assisting with everything from event coordination to IT troubleshooting.

Key Responsibilities:
- Faculty and Student Support: Assist with course materials, program-related questions, and faculty resource coordination. Provide first-level support for student and faculty needs, including academic applications and tools. Help navigate AAP NYC and connect constituents with the appropriate resources.
- Event and Program Administration: Coordinate logistics for events, including managing presenters, AV needs, catering, and providing on-site support. Develop and maintain event playbooks and guides to streamline operations.
- Operations Management: Oversee equipment inventory and assist with purchasing and financial tracking. Provide troubleshooting support for IT and fabrication tools. Update and maintain user manuals for AAP NYC resources.
- Communication and Documentation: Ensure clear and efficient communication across all stakeholders, including maintaining faculty and student resource materials and process documentation.
Monday - Friday 9am - 5:30pm. Some evenings and weekends may be required to support AAP NYC events.

The College of Architecture, Art, and Planning at Cornell University (Cornell AAP) includes the departments of Architecture, Art, City and Regional Planning, the Paul Rubacha Department of Real Estate, jointly led by AAP and the SC Johnson College of Business, the multicollege Department of Design Tech, and the Cornell Mui Ho Center for Cities. About the Gensler Family AAP NYC Center:
Established in 2006, the Gensler Family AAP NYC Center ("AAP NYC") facilitates student access to the educational and professional resources of New York City by providing space for seminars and studios, as well as programming for undergraduate and graduate students from across the college. AAP NYC is also a base for the college to engage NYC-based architects, artists, designers, urban planners, and other practitioners, as well as alumni. The teaching facilities are located at the Tata Innovation Center on the Cornell Tech campus on Roosevelt Island.
What We Need

- Experience: 3 years of experience in a dynamic, fast-paced environment. Previous experience in administrative or operations support is a plus.
- Education: An Associate’s degree is required; Bachelor’s degree preferred. Interest or background in architecture, design, or the arts is desirable.
- Technical Skills: Expertise with business software (Microsoft Office Suite, particularly Word and Excel), database management, and financial tracking tools
- Problem Solving & Attention to Detail: Ability to resolve issues independently and efficiently, ensuring smooth operations and high-quality service for faculty, students, and visitors.
- Communication & Collaboration: Strong written and verbal communication skills. Ability to interact with individuals at all levels, demonstrating flexibility and responsiveness. Must be comfortable working closely with faculty, staff, and students.
- Customer Service Mindset: A focus on supporting a diverse and rotating group of students and faculty, helping them navigate AAP NYC facilities, academic resources, and policies.
- Event Coordination: Experience in event planning, including logistics, AV/IT setup, vendor coordination, and day-of event support.
- Technical Troubleshooting: Ability to provide first-level support for IT and fabrication equipment, and escalate issues as needed.
- Inclusivity & Teamwork: Commitment to fostering a culture of belonging, open communication, and a psychologically healthy work environment.
If you have all those things, great! We have a few more things that we would prefer you to have, but it’s ok if you don’t.
- Familiarity with tools like Canvas, Box, Zoom, Miro, and Google Docs is helpful. Experience with architectural software (Rhino, Grasshopper) and Adobe Creative Cloud (InDesign, Photoshop, Illustrator) is a plus.
