Placement Coordinator
Job Details
PRIMARY PURPOSE
The Placement Coordinator – Education within the Graduate School of Education and Counseling reports directly to the Director of Strategic Partnerships and Placements. This role is primarily responsible for coordinating and maintaining school-based practicum, student teaching, and internship placements for graduate students across multiple education programs.
The ideal candidate will possess strong communication, relationship-building, and organizational skills; experience collaborating with K–12 partners and higher education stakeholders; and a commitment to equity and social justice in education.
To be successful in this position, the individual must excel at managing multiple priorities, maintaining accurate data and documentation, fostering partnerships with schools and districts, and ensuring that placement processes are transparent, timely, and aligned with the mission and values of the Graduate School.
ESSENTIAL DUTIES
Placement
- Collaborate with faculty in education programs to understand and respond to placement needs of multiple academic programs.
- Maintain an understanding of the academic, placement, and licensing requirements for each supported program.
- Communicate with graduate students and faculty about placement processes. This includes presenting the placement process to students during orientations or program class time, as well as timely and clear communication via email.
- Work with district partners to facilitate placement of graduate candidates from different graduate school programs in school and district sites with a goal of 100% of students with a confirmed placement by the start of term.
Data Collection and Review
- Collect licensure and employment data from mentors, supervisors, and/or students for tracking and accreditation purposes.
- Review and monitor data for completeness using an established CRM system.
- Work with the internal team to ensure ongoing process improvement.
- Work closely with staff in other offices to ensure accurate data collection processes for accreditation and program development purposes.
- Edit and maintain forms and email templates.
Strategic Relationship Management
- In collaboration with Strategic Partnerships and Placement Director, develop and maintain good working relationships with school district partners.
- Balance the needs of multiple internal and external stakeholders (students, faculty, and school districts) using quick prioritization and with good judgment.
- Engage and collaborate with K-12 schools and other education stakeholders.
Event Planning
- Support Partnership and Placement team colleagues in executing the annual Counseling and Therapy Internship Fair.
- Support other Graduate School events as assigned.

- Proficient in applying data flow principles, data management concepts, and electronic recordkeeping systems

- Proficient in prioritizing and balancing multiple projects with competing deadlines
- Extremely skilled at managing complex information and resolving issues with tact and professionalism
- Superior collaboration and teamwork skills, supporting colleagues across departments to achieve shared goals
- Proficient in event coordination and logistics planning in an educational or professional setting
- Excellent critical thinking and problem-solving skills to assess needs and identify effective solutions
- Superior commitment to promoting inclusion in all professional interactions and creating a welcoming environment for all community members
- Proficient in adapting to changing processes, technologies, and institutional needs with flexibility and initiative
- Excellent presentation and facilitation skills when representing the department in group settings or meetings
- Ability to carry out responsibilities in alignment with the social justice mission of the graduate school and communicate that mission to external partners fluently.
REQUIRED EDUCATION / EXPERIENCE
- Bachelor’s degree in education, human services, communication, or a related field
- Three years of experience building and maintaining partnerships between higher education and K–12 schools or districts
- Experience collaborating with faculty, staff, and community partners in an educational or professional environment
- Demonstrated success in managing complex projects independently and meeting multiple deadlines
PREFERRED EDUCATION / EXPERIENCE
- Experience supporting educator preparation programs such as teaching, counseling, psychology, or administration
- Experience in K–12 educational environments, including understanding of school structures and professional practices
- Familiarity with Portland-area school districts
- Experience working with Salesforce, FormAssembly, and Google Suite
WORK SCHEDULE
- Schedule: 37.5 hours per week, Monday through Friday
- Benefit Eligible: Yes
- Travel: Occasional local travel to school districts and partner sites
- Primarily on-campus position with regular in-person presence required. Remote work may be approved occasionally, based on operational needs
PAY RATE
- FLSA Status: Exempt
- $68,000 per year
PHYSICAL REQUIREMENTS
- General office environment with standard computer and desk setup
- Prolonged periods of sitting at a desk, working on a computer, and participating in virtual or in-person meetings
- Communicates effectively in person, by phone, email, and through online platforms
- Occasionally moves between campus locations and local partner sites for meetings and events
- Must be able to lift up to 15 pounds occasionally (e.g., materials for events or presentations)
