Department Summary
The Presidential Engagements Coordinator supports the Office of the President by planning and coordinating high-profile presidential and executive engagements, while also providing administrative and project support that ensures effective execution of presidential priorities. Reporting to the Chief of Staff, this role operates in a fast-paced, highly visible environment and works closely with senior leadership and campus partners to deliver well-executed events, meetings, and engagements that reflect Ohio University's mission, values, and leadership expectations.
While grounded in event and engagement management, the position also supports executive preparation, project tracking, written communications, and the coordination of the Presidential Ambassadors program to ensure consistent, professional representation of the Office of the President.
Key elements of the role include:
- Plan and manage presidential and executive engagements and a diverse portfolio of events, overseeing logistics, run-of-show documents, timelines, briefing materials, and on-site coordination from setup through execution
- Partner with the Chief of Staff and the President's spouse on presidential engagements, coordinating hosting activities to ensure alignment with presidential goals and institutional priorities
- Coordinate the Presidential Ambassadors program under the direction of the Chief of Staff and the President's spouse, ensuring student representatives are prepared, appropriately deployed, and aligned with engagement goals
- Coordinate with campus partners and external stakeholders to ensure events align with institutional priorities, protocol, and branding
- Prepare briefing materials, correspondence, and engagement-related written materials for senior leadership
- Track projects, commitments, and follow-up actions related to presidential engagements and initiatives
- Support executive meetings and ensure accurate documentation and timely follow-through
- Represent the Office of the President with professionalism, discretion, and sound judgment
Position Profile
Plans and organizes campus events. Manages logistics such as facilities, tickets, concessions, caterers, vendors, event communications, and technical support for events. Works with speakers, vendors, and staff to ensure successful event execution. Manages communications across the event team, providing smooth and seamless event experiences.

Physical Requirements
This position operates primarily in an office environment with frequent engagement-related activities across campus and at external venues. The role involves periods of standing, walking, and light lifting associated with event setup and on-site coordination, as well as flexibility and responsiveness in a fast-paced, highly visible setting.
Minimum Qualifications
- Requires a Bachelor's degree in a related field and 5 or more years of related professional experience, or equivalent education and experience.
Preferred Qualifications
- Experience in event coordination, executive operations, project coordination, or a related professional role, preferably in higher education, nonprofit, or complex organizational environments.
- Organizational and Project Management: Proven ability to manage multiple projects simultaneously, meet tight deadlines, and maintain attention to detail.
- Communication and Interpersonal Skills: Excellent written and verbal communication skills with the ability to engage tactfully and effectively with internal and external stakeholders at all levels.
- Technical Proficiency: Technical Skills: Proficiency with Microsoft Office and related scheduling, project tracking, and event management tools.
- Professionalism and Confidentiality: Ability to exercise sound judgment, handle sensitive information with discretion, and represent the Office of the President with poise and professionalism.

Pay Rate: The target salary range is $58,972 - $78,139. Salary will be commensurate with the candidate's education and experience in relation to the minimum qualifications for the position, while also considering internal equity.
