Position Summary
The Program Specialist in the Department of Rehabilitation Counseling will perform professional-level administrative work to support department goals and objectives. This work includes but is not limited to supporting the following functions: program recruitment, registration, purchasing, and events coordination. This position will also support faculty needs in grant-related activities. The Program Coordinator will work directly with the Program Manager and report to the Department Chair.
Responsibilities
The Program Specialist is responsible for the following:
- Supports program recruitment for masters and certificate student programs and represents the Department of Rehabilitation Counseling at VCU/CHP Open House events.
- Provides administrative support to the Program Director and Program Manager for annual program admissions.
- Provides daily administrative support to the Senior Clinical Coordinator.
- Supports departmental academic advising efforts.
- Coordinates department alumni events including MCV Alumni Weekend and quarterly Lunch and Learn events for program alumnus (in-person and/or virtual events).
- Assist with continuing education registration and tracking mechanisms for scheduled events.
- Helps to facilitate event programming ranging from new student orientation to graduation.
- Updates clinical training site inventory list and works with clinical coordinating faculty to to ensure that clinical site MOUs are in place.
- Assists the Program Manager with annual report data collection.
- Supports the various grants and/or special projects being led by department faculty including purchasing, hiring, and other administrative tasks.
- Works with department leadership to assist with the program expansion to Northern Virginia.
- Provides departmental administrative support as needed.
Qualifications:
Minimum Qualifications
- Bachelor’s degree; or an equivalent combination of education and experience.
- 3+ years of experience performing administrative support functions.
- Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.
- Proficiency in Google Suite and/or Microsoft Office.
- Demonstrated excellence in customer service skills.
- Proven ability to prioritize work, handle multiple tasks, and meet deadlines.
- Demonstrated ability to independently problem-solve using sound judgment.
- Positive and service-centered attitude.
Preferred Qualifications
- Experience providing administrative support to higher education academic programs.
- Administrative experience in human/community services and/or counseling offices.
- Proficiency in Adobe Pro and social media communications.
- Demonstrated experience in planning and executing small, medium, and large events, both in-person and virtually.
- Experience with academic program admissions review and coordination.
- Experience with Smartsheets, Banner, and Slate information systems.
Salary Range: $50,000+ (commensurate with experience)
