Position Highlights
The Medical Education Professional III serves as the primary administrative support to the Program Director and faculty, working both independently and in close collaboration with program leadership to manage all administrative activities of the Surgical Critical Care Fellowship and the Acute Care Surgery Fellowship programs. This role is responsible for overseeing the day-to-day operations of the fellowship programs, ensuring smooth program management, efficient communication, and adherence to all institutional and accreditation standards.
The Medical Education Professional III must possess a thorough understanding of the ACGME accreditation process as well as the program requirements set forth by the American Association for the Surgery of Trauma (AAST). The role operates with a high degree of autonomy, exercises independent judgment, and may hold final decision-making authority on administrative matters. Incumbents in this position manage programs with a broader scope, increased complexity, and significant fiscal responsibilities, contributing directly to the ongoing success and accreditation compliance of the training programs.

Duties & Responsibilities
Program Administration & Operations
- Oversee the day-to-day operations of the fellowship program.
- Coordinate recruitment, application, interview, and selection processes for fellows.
- Manage onboarding, orientation, and off-boarding of fellows.
- Liaise with faculty, staff, and leadership to align program goals.
Support for Program Director & Faculty
- Provide administrative support to the Program director and division faculty, anticipating needs and ensuring seamless daily operations.
- Manage faculty calendars, coordinate complex schedules, and arrange travel, lodging, and itineraries.
- Draft, edit, and distribute correspondence, presentations, and reports on behalf of division leadership.
- Support academic and clinical initiatives through effective communication, organization, and documentation.
Accreditation, Compliance & Reporting
- Oversee ACGME accreditation management for program, including monitoring milestones, maintaining required documentations, and preparing for site visits and annual reviews.
- Ensure compliance with all American Association for Surgery and Trauma program requirements, including curriculum standards, case logs and program evaluations.
- Maintain and update all accreditation-related materials, including program policies, handbooks, evaluations, and annual reports.
- Collect, track and analyze fellowship metrics, evaluations and outcome data.
- Implement and maintain program information in New Innovations.
- Prepare summary date for faculty meetings, program reviews and annual reports.
Financial Oversight & Budget Management
- Manage the fellowships budget in coordination with the Program Director and business office.
- Track expenditures, fellow stipends, travel, training funds, and reimbursements.
- Assist faculty and fellows with travel authorizations, purchasing, and expense reimbursements.
Knowledge, Skills & Abilities:
- Proficiency in Microsoft Excel, Word and Office.

Minimum Qualifications
- Bachelor's degree or equivalent advanced learning attained through professional level experience required; and,
- Five (5) years of relevant work experience, or equivalent combination of education and work experience.
Preferred Qualifications
- Experience with UA Analytics and UAccess Manager Self Service is preferred.
