Program Coordinator
The Program Coordinator, Career Services plays a critical role in advancing Seton Hall University’s Transformational Student Experience by planning, marketing, executing, and assessing high-impact career programming and employer engagement initiatives. This position leads to the coordination of signature career events and supports the delivery of experiential learning opportunities that prepare students and alumni for meaningful career outcomes. The Program Coordinator collaborates closely with the Director, Associate Director, Career Coaches, campus partners, and employer partners to ensure seamless event execution, strong student engagement, and measurable program impact.
Duties and Responsibilities:
Career Program & Event Leadership:
Serve as the primary coordinator for career development programs including:
• Career Expos and Industry-Specific Career Fairs
• Employer information sessions and on-campus recruiting events
• Networking nights and alumni panels
• Career readiness workshops and Snack and Learn sessions
• Signature Career Center initiatives
Plan, organize, and execute all program logistics including:
• Event registration and configuration in 12twenty
• Space reservations and coordination with campus partners
• Vendor management and event setup
• Event-related communications to students and internal stakeholders
• Day-of-event coordination and troubleshooting
• Post-event evaluation and reporting
Collaborate with Career Center team members to support cross-functional programming initiatives and shared strategic priorities.
Monitor higher education and workforce trends to identify potential new programs and engagement opportunities.
Career Services Systems & Operations
Manage event-related functions within 12twenty including:
• Event creation and employer registration approval
• Student RSVP tracking and attendance reporting
• Maintenance of employer event profiles and communication templates
• Ensure accurate data entry and system integrity for reporting purposes
Serve as the primary point of contact for event management systems including:
• Event calendars
• Room reservations
• Media and technology requests
Marketing & Communication Support:
• Lead and coordinate marketing efforts for career events and initiatives, including digital promotions, social media content, printed materials, and targeted student outreach campaigns.
• Support broader Career Center marketing and communication initiatives as needed.
Student Engagement & Career Readiness Support
• Promote career programming across all undergraduate and graduate student populations.
• Collaborate with Career Coach and Career Advisors to drive attendance and student participation.
• Support resume review events and interview preparation sessions.
• Assist with experiential learning awareness initiatives.
Employer Engagement Support
• Partner with the Director and Associate Director to facilitate employer participation in recruiting events and expos.
• Support employer onboarding within 12twenty.
• Lead employer communications related to event logistics.
• Conduct outreach to new and existing organizations to increase employer participation.
Communications & Data Reporting
• Track event attendance metrics and employer participation data.
• Oversee the collection and analysis of event-related data including attendance and satisfaction results.
• Prepare reports aligned with Career Center KPIs and institutional assessment needs
Required Qualifications:
Bachelor’s degree – Field of study: Business, Communications, Marketing, Human Resources or related field required.
Must be comfortable speaking in front of groups, as well as in one-on-one situations. Strong communication/platform skills are required. Must possess exceptional teaching and facilitation skills to lead career education seminars. Will serve as an ambassador for the University with parents, alumni and employers.
Desired Qualifications:
• Experience in higher education, career services, event coordination, or program management preferred.
• Strong project management, communication, and organizational skills required.
• Experience with career management platforms such as 12twenty, Handshake, or similar systems preferred.
Salary Range:
$44,000 - $60,500
Exempt/Nonexempt: Exempt
