Scope of Job:
To assist in the operation of the Field Experiences and Clinical Teaching program and as a portfolio of interconnected projects across educator preparation programs, exercising independent judgment and authority as required. Responsible for all phases of the program, including coordination of placements and partnerships, program communications, data and reporting workflows, event logistics, and budget management

Description of Duties:

  • Coordinates the Field and Clinical Teaching program to ensure that implementation and prescribed activities are carried out in accordance with specified objectives.
  • Coordinates Field and Clinical Teaching placements in collaboration with school districts and campus partners; supports placement workflows similar to other Office of Field Experiences (OFE) field-based experiences (e.g., BISD, HCISD, LFCISD).
  • Supervises and manages the day-to-day activities and personnel of the assigned program, including student assistants (work-study), scheduling, task assignment, and training.
  • Coordinates work requests and tasking across OFE staff as directed; provides professional-level communication and drafting support.
  • Develops and supervises the implementation of multiple projects or programs components, including semester operational calendars and key milestone communications to faculty, staff, and candidates.
  • Participates in budget planning and is responsible for controlling expenditures in accordance with budget allocations for the program, including travel arrangements and reimbursements, and supports financial tracking and procurement workflows.
  • Coordinates and manages reservations and room/events for program activities, such as meetings, orientations, and professional learning events related to Early Field program goals; drafts agendas, correspondence, and supporting materials; and maintains coordination details in the OFE calendar.
  • Coordinates long and short-term programs, including performing feasibility studies and estimating the cost of the program.
  • Represents department in official functions.
  • Reviews and maintains accurate program records and reports of activities and recommends modifications to methods or procedures to improve quality and consistency.
  • Drafts brochures, letters, agendas, and contracts.
  • May plan, develop, organize, and coordinate research and survey designs.
  • Attends meetings, conferences, and seminars related to the program's mission and goals.
  • Supervises and organizes seminars, conferences, and presentations.
  • Provides appropriate reports for OFE leadership and campus partners; maintains clear documentation of placement status, compliance, and program outcomes.
  • Assists and responds to students, faculty, and staff regarding Field and Clinical Teaching requirements, processes, deadlines, and troubleshooting.
  • Supports eligibility verification and application monitoring, including daily checks of candidate status and follow-up for missing items when needed.
  • Supports admissions-related routing as applicable (e.g., teacher education program admission checkpoints connected to field eligibility).
  • Conducts formal training or gives instruction regarding program policies and procedures.
  • Collects, tracks, and communicates district compliance requirements, including criminal background check (CBC) documentation and onboarding steps.
  • Develops, cultivates, and maintains working relationships with internal/external departments/agencies and other organizations associated with and/or receiving benefit from the program.
  • May coordinate and oversee tutorial, counseling, teaching, and/or training activities of the program.
  • Performs other duties as assigned.

Required Education:
Bachelor’s degree from an accredited university

Licenses/Certifications:
None.

Required Experience:

  • Three (3) years of experience performing closely related duties, including program planning/coordination or related experience in the appropriate field of the program, or
  • One (1) year of the required experience with a Master's degree, or
  • Five (5) years of the required experience with an Associate Degree or 60 hours of College Credit, or
  • Seven (7) years of the required experience with a High School Diploma or equivalent.

Preferred Experience:

  • Experience in educator preparation, field-based experiences, clinical teaching, or residency operations.
  • Familiarity with Texas educator preparation requirements and compliance considerations (e.g., TAC/TEA guidance).
  • Proficiency with higher-education administrative systems (e.g., TK20/Watermark, Astra scheduling, iShop procurement, iTravel).

Working Conditions:
Needs to be able to successfully perform all required duties. Normal office or classroom or outside environment. Some travel and weekend work is required. Particular project or program may require ability to drive a car for local or distant travel for consultation, training, meetings, or on site demonstrations. Must be able to bend, stoop, reach and lift for retrieving/maintaining files and for setting up multimedia equipment. Must be able to move between buildings, offices and classrooms. UTRGV is a distributed institution, which may require presence at multiple locations throughout the Rio Grande Valley.

Ability to interact in a professional manner with faculty, staff, students, and the public. Excellent verbal and written communication skills. Demonstrated interpersonal skills. Independent decision-making and problem-solving ability. Must demonstrate effective project promotion skills, and, the ability to develop and maintain strong working relations with internal and external agencies and entities. Proficiency with standard office equipment and common productivity software (e.g., Microsoft Office/Google Workspace).
