Job Description
Responsibilities:
- Recruit & select cohorts: Lead outreach, applications, interviews, selections, and waitlist.
- Build the project pipeline: Source industry/Startup/faculty AI projects; finalize scopes, timelines, contacts.
- Match & support teams: Pair students with graduate/industry mentors; run weekly check-ins and monthly cohort meetings.
- Coordinate training: Track IBM AI for Developers certification, Power Skills sessions, and the Immersion Program.
- Partner management: Maintain day-to-day communications; run quarterly partner check-ins; resolve issues quickly.
- Student logistics & support: Schedule, room/tech setup, remote collaboration access; flexible options for commuters/working students.
- Showcases & events: Plan end-of-semester Project Showcases and employer feedback activities.
- Data & evaluation: Maintain the project/partner database; collect employer ratings and student surveys; prepare dashboards and summaries.
- Grant operations: Track budget and burn rate; process participant stipends; handle purchasing, invoices, payroll/timekeeping, and travel per policy; maintain compliance records; prepare inputs for NSF reports and audits.
- Risk & comms: Monitor milestones and risks; escalate to the Director; keep a clear calendar and regular updates to stakeholders.
Minimum Qualifications:
- Bachelor’s degree (any discipline).
- At least 2 years of project coordination experience.
Preferred Qualifications:
- Research & analysis: Elementary knowledge of reference/research methods; ability to collect, compile, and organize data; apply basic analytical and statistical techniques; present results clearly.
- Data presentation: Ability to perform mathematical computations and present statistical material in tables, charts, and graphs (Excel/Google Sheets).
- Tools & systems: Skill using office automation software (Microsoft 365/Google Workspace); familiarity with CRM/databases (e.g., Salesforce or equivalent); comfort with project tools (Asana/Trello/Smartsheet) and virtual collaboration platforms (Teams/Zoom).
- Operations: Ability to follow purchasing/travel procedures; maintain accurate records; track budgets/expenditures at a task level.
- Communication: Clear, concise writing and speaking; prepare agendas/notes, partner updates, and summaries suitable for stakeholders.
- Collaboration: Ability to establish and maintain effective working relationships with students, faculty, and external partners; responsive follow-through.
- Organization: Strong time management; manage concurrent deadlines; maintain calendars; escalate risks promptly.
- Confidentiality & compliance: Handle sensitive student/partner information appropriately (FERPA-aware) and adhere to institutional policies.
Conditions of Employment:
- Occasional evening/weekend support for showcases, panels, or site visits.
- Regional travel to partner sites as needed.
- Background check and adherence to BSU policies and sponsor requirements.
