Detailed Description:
Reporting to the Director of Planning, Design, and Construction, the Project Coordinator is responsible for all administrative functions regarding major and minor capital projects. The role assists in planning capital improvement and facility renewal projects, supporting process improvement, cost reduction, and risk mitigation.
Duties and Responsibilities:
- Update and maintain all sets of drawings, specifications, and warranty information for projects.
- Assist in cost estimating efforts, coordinating with outside consultants and maintaining internal databases.
- Prepare RFP/RFQ documentation, send for bid, and report results.
- Create purchase orders and work orders, including revisions.
- Track project budgets and review invoices.
- Track change orders and ensure budgets reflect changes and risks.
- Assist project managers with communication to the campus community.
- Document all work in internal databases and update Facility Condition Assessments.
- Assist in setting up and revising project budgets.
- Ensure adherence to Campus Design Standards.
- Use a systematic approach to optimize processes in Facilities Management.
- Identify, analyze, and improve current processes.
- Document processes as needed.
- Develop reports on project statuses, costs, schedules, and efficiency.
- Maintain data systems for reporting on ongoing and completed projects.
- Create spreadsheets to track projects, funding, progress, schedule, and scope.
- Assist with Work Management and Work Control functions.
- Use CMMS for planning, scheduling, and reporting projects.
- Ensure work orders are properly submitted and necessary.

Job Requirements:
Minimum Qualifications:
- HS Diploma or GED required.
- Four years of administrative experience, preferably in facilities management. A Bachelor's degree may substitute for up to two years of experience.
- Experience with software for scheduling, tracking, and documenting projects.
- Experience with blueprint management and archiving.
- Proven ability to coordinate multiple tasks in changing priorities.
Preferred Qualifications:
- Bachelor's Degree preferred.
Performance Expectations:
- Knowledge of budgeting and financial accountability.
- Excellent oral and written communication skills.
- Appreciation for the university's mission.
- Experience with CMMS software like TMA or MAXIMO preferred.
- Analytical and problem-solving skills.
- Experience in database management and office software.
- Ability to work with diverse groups.
- Attention to detail in data input.
Posting Salary:
