Position Summary

To provide complex and diversified project management support with minimal supervision and actively and effectively anticipate the needs of the organization. Performs high-level program support for the organization and implementation of projects in the Office of Academic Affairs, focusing on projects related to those of the Assistant Provost for Student Success and Engaged Learning, utilizing tact, diplomacy, and discretion, as required on a wide variety of complex and sensitive issues.

Description of Key Responsibilities

  1. Assist the Assistant Provost for Student Success and Engaged Learning with coordination of logistics and hospitality for meetings and events, communication with vendors and community partners, preparation of correspondence to faculty/staff/parents, development of promotional and workshop materials, and co-supervision of student workers.
  2. Exercise leadership in supporting and implementing the goals and objectives of the Office of Academic Affairs through administration and organizational functions. Prioritize responsibilities within a high‐volume work area.
  3. Provide project management services to the Assistant Provost for Student Success and Engaged Learning and the Director of the Honors Program. Manage large, student-facing campus events in collaboration with the Experiential Learning Coordinator, Coordinator of First-Year Student Experience, and Director for the Center for Social Impact. Coordinate logistics and hospitality for meetings and events; communicate with vendors and community partners, and manage internal promotion.
  4. Liaise with the Office of Admissions, Marketing and Communications, Residence Life, College/School representatives, the registrar’s office, the student success team, and other campus stakeholders to manage the duties and logistics associated with the onboarding and retention of students in the College Scholars program including the high school and current student application process, Welcome Week planning with Student Involvement, spring LLC application process, HONR advising and registration process with success team, and spring celebrations in coordination with the commencement committee.
  5. Obtain and compile data on student participation in Engaged Learning, General Education, and College Honors.
  6. Confer with Assistant Provost regarding staffing of courses; prepare requests for contracts for part-time hiring; complete stipend payment paperwork for faculty in departments; contact students regarding changes and cancellation of courses; manage book order process and request desk copies. Input and proof data in Excel for annual academic course schedule for the departments.
  7. Manage the Student Conference Travel program, coordinating logistics for large groups of students attending conferences, processing applications for individual students, and maintaining records of participation for the Director of Undergraduate Research.
  8. Maintain websites and other on-line forms of communications on engaged learning initiatives and the honors program.
  9. Orientate new employees to buildings and campus; instruct new employees how to use copier, printers, and other equipment in the buildings.
  10. Perform specified duties of Executive Assistant to the Provost and Vice President of Academic Affairs in his or her absence or as the need arises.
  11. Other duties and responsibilities as appropriately assigned.

Required Knowledge, Skills and Abilities

An individual in this position must possess the proficiency, wherewithal and knowledge of principles and processes for providing high-quality service to both internal and external constituents of the College.

  5. Demonstrated high-level administrative experience, including advanced computer skills and demonstrated experience to manage multiple projects concurrently in a high‐volume environment.
  6. Excellent verbal and written communication skills, including editing and proofreading.
  7. Excellent planning and organizational skills
  8. Knowledge of or the ability to quickly grasp and articulate the College’s mission, organization, operation, performance expectations, and culture.

Distinguishing Characteristics

Manage multiple high-level projects for the Office of Academic Affairs with a high degree of independence and commitment to institutional mission and organizational objectives. The position requires the ability to interact successfully with multiple constituencies, and the ability to function as an effective member of a team. Organization, efficiency, accuracy, creativity, project management skills, and the ability to multi‐task are essential. Acts on behalf of the supervisor in regards to establishing priorities, identifying, and resolving problems that are administrative in nature. Uses independent judgment to keep supervisor informed of all matters that require attention.

Education/Training

An associate’s degree or equivalent work experience is required. Bachelor’s degree preferred.

Experience

A minimum of two (2) years in an administrative support role required. Experience within an institution of higher education preferred.
