Work Location: This position will be eligible for a hybrid work schedule, pursuant to the College's Work Location Policy.
About the Controller's Office
Haverford College's Controller's Office provides services to the college community in the areas of accounting and business services, financial reporting, payroll, purchasing, sponsored research, student accounts, and treasure functions. The Controller's Office is responsible for helping safeguard the College's assets and ensuring proper use of the College's financial resources.
About the Position
As a member of the Controller's Office, the Purchasing Coordinator supports initiatives to enhance the supplier database and streamline the registration process. The Coordinator is responsible for promptly and accurately registering suppliers into Workday, maintain supplier records, and responding to related inquiries. Additional responsibilities include providing administrative support to the Controller's Office, inviting international suppliers to Sprintax, processing purchasing documents, assisting accounts payable, and ensuring timely and accurate information is entered into Workday. The Coordinator performs a wide variety of duties that require considerable judgment, initiative, and independence.
Primary Responsibilities
- Work with College partners to onboard suppliers into the Workday system
- Validate the completeness of the supplier onboarding process, subsequent supplier changes, and maintenance
- Record, process, research, and approve various financial and purchasing transactions in Workday (i.e., requisitions and receipts)
- Review and approve Amazon purchases to ensure compliance with College policies
- Assist with initiatives to enrich the supplier database, including participation on the Gainfront project team, which will drive visibility to supplier reporting capabilities
- Assist with initiatives to drive sustainable purchasing
- Serve as co-representative for Haverford College in the Philadelphia Area Collegiate Cooperative (PACC)
- Coordinate non-project furniture ordering and used furniture storage
- Provide administrative support to the Controller's Office
- Assist with training departments and new employees
- Other duties as assigned
Line of Report: The Purchasing Coordinator reports to the Director of Procurement Services.
Minimum Qualifications
- High school diploma
- Three years of experience in a financial/purchasing position

- Attention to detail and accuracy, with the ability to meet deadlines
- Proficiency in Microsoft Office applications and experience with financial accounting systems
Preferred Qualifications
- Customer service experience
- Associate's Degree or higher in a business-related field
- Experience working in higher education or other non-profit environments
- Experience with Workday Finance
- Experience with 1099s and 1042s
