Senior Assistant To, Grade E
Description
Reporting to the Executive Director of Student Counseling Services, the Senior Assistant To assists with the daily operations of Student Counseling Services including the reception area, check-in flow, and task management.
Responsibilities include, but are not limited to:
- Maintaining a compassionate, professional presence as the face of Student Counseling Services.
- Provides day-to-day clerical support to the reception and day-time clerical support to Student Counseling Services.
- Assists with scheduling appointments, preparing documents, updating student records, and scanning documents in a timely manner.
- Checks-in and discharges individuals for appointments.
- Answers phones, troubleshoots and triages to ensure the needs of students are met.
- Reviews and coordinates daily schedule and in conjunction with clinical team to manage and prioritize walk-in appointments with existing clinical appointments.
- Responds to requests for information from students, staff, parents, and other Hofstra community members.
- Facilitates the workflow of the reception area, ensuring tasks and daily deadlines are met and work is completed accurately.
- Interfaces with other departments and vendors as needed to ensure continuity of services are provided.
- Assists with the coordination of special events and related initiatives as needed.
- May provide coverage for Student Health as necessary.
- May perform other duties not specifically identified above, but which require the same degree of skills, and which are normally included within the above job title.
Hours: Monday through Friday from 9am to 5pm.

Qualifications
- Proficiency in Microsoft Word and Outlook required.
- Detail-oriented, team player, able to handle multiple priorities in a fast-paced working environment subject to multiple interruptions.
- Ability to manage confidential and sensitive information with the utmost discretion.
- Excellent problem-solving abilities and ability to analyze and revise operating practices to improve overall efficiency to best meet the needs of the student population.
- Excellent interpersonal, communication, and phone skills.
- Superior organizational skills and dedication to completing and delivering assigned projects in a timely manner.
- Ability to maintain composure when encountering those who might be struggling emotionally.
Preferred Qualifications
- Previous experience with EHR systems and Microsoft Excel preferred.
- Previous experience in a clinical or higher education setting.
