Job Summary
The Senior Financial Aid and Scholarship Officer provides advanced operational, technical, and programmatic support for the administration of federal, state, and institutional financial aid and scholarship programs. This position is responsible for complex processing, regulatory compliance, and facilitation of group presentations, program ownership, and serves as a subject matter resource for staff, students, and leadership.
Core Responsibilities
- Manages and administers assigned financial aid and/or scholarship programs, including awarding, monitoring, outreach, default prevention/literacy, reconciliation, and regulatory compliance.
- Resolves complex and escalated student cases, including packaging exceptions, professional judgement appeals, SAP issues, over-awards, and conflicting information.
- Exercises professional judgement in accordance with federal, state, and institutional regulations.
- Maintains and updates policies, procedures, and business processes for assigned functional areas.
- Supports staff training and onboarding, including coaching entry-level staff and student employees on regulations, systems, and workflows and may supervise student ort entry-level staff.
- Provides functional or day-to-day oversight of student workers or junior staff, including review of work for accuracy and compliance.
- Assists Assistant/Associate Directors with operational planning, workflow management, and process improvement initiatives.
- Ensures quality control and compliance with Title IV, state, and institutional requirements.
- Prepares and analyzes data and reports related to program performance, disbursements, and compliance metrics.
- Serves as backup for critical financial aid and scholarship processing functions during peak periods or staff absences.
- Counsels students on complex financial aid matters requiring advanced knowledge and judgement and assists with escalated cases.
- Represents the office on committees or projects related to financial aid operations and compliance.
- Represents the office during outreach presentations.
- Maintains current knowledge of financial aid regulations, policy changes, and best practices.
- Performs other duties as assigned.
Required Qualifications
- Bachelor's Degree in a related field.
- Three (3) years of related work experience.
- This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.
Preferred Qualifications
- Master's Degree in a related field.
- Experience with Ellucian Banner (e.g. RORSTAT, RPAAWRD, RNINAIQ)
- Intermediate to advanced skill with Microsoft Excel (VLOOKUP, pivot tables, filtering, sorting and conditional formatting
- Experience generating or validating internal and external reports (e.g. audit support, reconciliation, program or performance monitoring)
- Strong understanding of downstream impact of policy changes to students and how it impacts packaging logic, disbursement and/or reporting
- Presentation experience

- Knowledge of Title IV and/or state financial aid regulations
- Analytical and problem solving
- Ability to interpret and apply complex policy and regulatory guidance
- Attention to detail and quality control
Working Conditions
Office Environment. Work involves significant interaction with students. Participation in meetings and conferences concerning student or professional affairs beyond the usual office hours.
Physical Demands
Sedentary work; sitting most of the time. Jobs are sedentary, if walking and standing are required, only occasionally.
This position will work primarily on campus. Travel and parking expenses are the employee's responsibility.
