Student Affairs Program Coordinator
This position is located in the Office of Educational Affairs, UF College of Medicine - Jacksonville. This position will act as the point of contact, by telephone, email and in person, and will also interact with faculty, staff and students on a daily basis. This position will also provide administrative support to the Assistant Dean for Student Affairs and Assistant Dean for Medical Education. This position will also be responsible for all events, internal and external, sponsored by the Office of Educational Affairs.
Essential Functions:
- Plan, direct, and participate in recruitment/enrollment activities and outreach, and provide primary administrative support for UFCOM-J regional medical campus admissions processes, including but not limited to: Serving as a point of contact for applicants before and after their interviews, Setting up virtual interviews for applicants and maintaining interview schedules, Coordinating the visit days for applicants, Serving as liaison with the admissions department staff at the COM to ensure that processes are coordinated.
- Design, develop, and oversee programs and projects for student activities, including managing all events of the UFCOM-J regional medical campus for both prospective and current students. Manage space allocation for student organizations and student activities. Recommend new and/or improved student affairs programs.
- Function as primary contact for UFCOM and visiting students when they seek services/assistance, as well as assisting them in initial troubleshooting when problems arises. Also provide customer service as first contact for all visitors and guests.
- Provide administrative support to the Office of Educational Affairs, including but not limited to: Answering main line phone calls, distributing faxes, and screening and routing incoming and outgoing mail, Coordinating room scheduling and reservation requests, videoconference set-up as needed, and catering needs for all meetings including, but not limited to, clerkship directors meetings, COM committee meetings (curriculum, academic status, etc.), residents/fellows as teachers, Assisting with calendar and meeting management requests from internal and external sources using MS Outlook's calendar modules, Providing electronic document assembly, formatting, proofing, development and/or modifications of customized forms as needed utilizing MS Word, MS Excel, MS PowerPoint and/or Adobe Acrobat as required for project completion.
- Provide administrative support for Assistant Dean for Student Affairs and Assistant Dean for Medical Education.
- Perform other duties as requested by supervisor, and by the Senior Associate Dean for Educational Affairs.
Classification Title: Student Affairs Program Crd
Classification Minimum Requirements: Master's degree in an appropriate area of specialization; or a bachelor's degree in an appropriate area of specialization and two years of appropriate experience; or an equivalent combination of education and experience.
Expected Salary: $52,600
Preferred: Proficient in event planning and management, Experienced in coordinating student programs for higher education, Working knowledge of computers and current computer software, Ability to coordinate multiple project independently and as a team, Ability to effectively communicate (verbally and written) with faculty, staff and students, Ability to interpret general office priorities and work assignments, Ability to maintain confidentiality.
