The School of Electrical Engineering and Computer Science is looking for a motivated Student and Academic Administration Officer to play a key role in supporting our students and staff.
In this dynamic position, you’ll be the friendly face and trusted guide who delivers high‑quality customer service offering helpful, accurate, and informative support to students, professional staff, and academic colleagues. Working collaboratively within a supportive team, you’ll assist with a wide variety of administrative tasks, help solve day‑to‑day challenges, and keep our administrative systems running smoothly.

Key responsibilities will include:
Student & Academic Administration
- Provide timely and accurate information to students, staff and other stakeholders within the University policies and procedures framework, guidelines and relevant legislation.
- Respond to incoming School enquiries and ensure all are resolved within set service targets.
- Provide accurate and timely advice to current and prospective students, including arranging academic advising appointments.
- Process student administrative requests such as late enrolments, extension requests, deferred examinations, and remark applications.
- Coordinate student cohort activities, including Student Consultative events and School thesis seminars.
- Support academic administration including:
- Updating electronic course profiles
- Preparing examination papers
- Managing exam‑related activities
- Uploading and amending grades
General Administration
- Provide secretarial support to School Committees and other student or staff meetings, including preparing agendas, minutes, reports, and submissions on behalf of the Chair.
- Maintain School records, procedures, and internal databases.
- Assist in reviewing and improving administrative processes to enhance workflow, efficiency, and overall service delivery.
Important Note: Leave Restrictions
To support peak operational periods, leave cannot be taken during:
- From the end of January until the 3rd week of Semester 1
- From 2 weeks prior to Semester 2 until the 3rd week of Semester 2
- The week following the final exam period in Semesters 1 and 2

About You
We’re looking for someone who thrives in a customer‑focused environment—strong interpersonal skills, excellent written communication, and outstanding client service are at the heart of this role.
- A relevant undergraduate degree or an equivalent combination of relevant experience and/or education/training with a commitment to and enthusiasm for the provision of excellent client service.
- Sound knowledge and understanding of student and academic administration processes, or relevant experience that demonstrates the ability to quickly learn and apply these processes in line with University policies and procedures.
- Proven ability to work both independently and as part of a team, with strong organisational skills to manage competing deadlines.
- High‑level written, verbal, and interpersonal communication skills, enabling effective engagement with students, colleagues, and senior staff.
- Strong problem‑solving skills, with the initiative and judgement to identify issues and propose practical, innovative solutions.
- High computer literacy, with excellent attention to detail and accuracy.
- Experience in student or academic administration within a university or educational setting is highly regarded.
Appointment to this role is subject to the successful completion of relevant pre-employment checks, which may include verification of the right to work in Australia, criminal history checks, and other role-specific requirements such as Blue Card checks. This may also include checks relating to gender-based violence matters or other integrity and conduct requirements.
