BASIC PURPOSE: The Student Financial Services Coordinator supports the enrollment and retention goals of the university by providing general information and guidance to students about Student Accounts, Financial Assistance, and Student Employment. The Student Financial Services Coordinator is a key position in the Student Financial Services Office as it is the first point of contact for students and families. This position creates a welcoming environment, interacting with students and families in-person, by phone, by text, and by email. Because sensitive documentation and/or information is received daily, maintaining confidentiality and discretion is essential.

COUNSELOR RESPONSIBILITIES:

  1. Provides counselor of the day services in a welcoming environment as the first point of contact for students and families in answering questions on student billing, student account, financial aid, student loans, payment plans, financing options, and student employment.
  2. Maintain a positive, empathetic, and professional attitude while providing information to students to facilitate communication between prospective students, staff, enrolled students, families, and campus partners.
  3. Actively research and resolve inquiries from students and the university community. Respond promptly to inquiries, providing service through a variety of mediums including walk-ins, phones, email, text, and virtual platforms.
  4. Serves as a generalist, in charge of knowing all aspects of processes relevant to the office (to include federal and state regulations, policies, departmental, institutional procedures, and technical functions).
  5. Stay apprised of various programs, including their basic eligibility requirements and application procedures.
  6. Performs a wide range of advanced administrative duties of complex and/or confidential materials, requiring independent judgment and initiative on assignments that are sensitive in nature.
  7. Works with others to promote inclusion and support a diverse group of prospective students and their families recognizing each person's unique needs.
  8. Maintains professional and accurate records, confidential reports, and information.
  9. Performs other related duties as assigned.

PROGRAM MANAGEMENT RESPONSIBILITIES:

  1. Process outside scholarship list from Student Accounts Office.
  2. Maintain and manage annual Resident Assistant list by working with Residential Life staff. Update student records based on RA changes during the academic year.
  3. Oversee Constitution Day compliance for the University.
  4. Gather and maintain study abroad lists (including Rome students) from the Office of Undergraduate Studies prior to the start of each undergraduate semester. Make necessary changes to students' financial aid records when needed and communicate study abroad list with Student Accounts staff.
  5. Process, upload, and track student documents (mail, faxes, etc.) into Colleague and Image Now for both current and prospective students.
  6. Manage Calendly appointments for Student Financial Services Team. Update during times when University is closed.
  7. Review prospective students' submitted appeals and code in Colleague several times per week during peak appeal times.
  8. Assist with reviewing and collecting student employment paperwork and Massachusetts No Interest Loan Master Promissory Notes.
  9. Manage Student Financial Services book voucher system by reviewing and processing submitted requests, communicating results to students, Assumption University Bookstore, and Student Accounts Office and reconciling book vouchers funds within the first few weeks of each semester.
  10. Manage the federal student loan exit interview program by working closely with Registrar's Office to identify withdrawn and graduated students.
  11. Manage the withdrawal process for all students by working closely with the Registrar's Office in requesting lists of withdrawn students and communicating information to awarding directors in the Office of Financial Aid.
  12. Hire and manage office student employment workers.
  13. Review and update student financial aid records by managing the unlinked ISIR report daily.
  14. Manage the Massachusetts Herter Scholarship, MA Foster Care Grant, MA Gear Up Grant, and Vermont and Pennsylvania State Grant programs.
  15. Manage and process AmeriCorps program submittals.
  16. Manage and order SFS office supplies.

QUALIFICATIONS:

  • Must be willing to contribute actively to the mission of the University as well as show respect for the Catholic and Assumptionist identity of Assumption University.
  • Three to five years related experience required, Colleague experience helpful.
  • Strong computer skills required.
  • Ability to maintain a high degree of confidentiality required.
  • Ability to work in a fast-paced environment and focus on tasks in an interruption-proned office.
  • Bachelor's degree required.
  • Strong Excel and Word computer skills required.
  • Excellent communication skills and attention to detail and ability to respond to student and parent questions in a calm and courteous manner.
  • Possess a student-centric mindset
  • Provide excellent customer service to students, families and colleagues as it relates to the Office of Financial Aid and Office of Student Financial Services.
  • Ability to work occasional evening and weekend hours as needed.
  • Peak work times are during the months of April, December - January and July-August.
  • Attendance at annual Admission events is required.

Use of a computer keyboard and computer screen for periods of time with close vision and the ability to adjust visual focus plus manual dexterity are required.
