Subaward Manager
Position Focus
Reporting to the Associate Director, Subaward Management, this position provides support to Yale’s cutting-edge research by drafting, administrating and executing outgoing subawards issued under grants and contracts. These duties involve interpretation of award terms and conditions, negotiation, and adjusting to changes in a fast-paced industry. This position acts as the primary manager for handling outgoing subaward related issues, advising/educating departmental personnel, and contributing to process improvement. The Subaward Team is a fun, dynamic group of people who love to learn and have a passion for supporting Yale’s vast research enterprise. This position is offering on-site, hybrid or largely remote work schedules.
Required Skills and Abilities
- Knowledge of subrecipient requirements, determining risk and subsequent management of the overall process.
- Excellent written and verbal communication skills with demonstrated organizational skills. Ability to draft appropriate subawards in accordance with sponsor’s terms and conditions.
- Demonstrable understanding of regulatory and University requirements (human and animal subjects, conflict of interest, etc.) as it relates to the acceptance of awards and issuing of subawards.
- Exceptional attention to detail, well-developed analytical and problem-solving skills, and demonstrated superior customer service. Demonstrated ability to comfortably work with individuals of all levels of the University and in a professional and courteous manner.
- Demonstrated ability to work well under pressure without sacrificing accuracy or customer service, handle a complex portfolio of work in an intensive, multi-tasking environment, work effectively as part of a team, and willingness to go that extra mile and devote the additional time to eliminate backlog and support colleagues.
Preferred Skills and Abilities
- Working knowledge of federal regulations as they relate to the conduct of research.
- Knowledge of accounting principles helpful.
- Working knowledge of award management in an institute of higher education
- Thorough working knowledge of PC based tools including Microsoft Office Suite.
- Understanding of 2 CFR 200 and its applicability to federally funded awards.
Principal Responsibilities
- Manage the outgoing subcontract process including review, coordination and preparation of documentation related to outgoing subcontracts under prime awards received by Yale University.
- Work collaboratively with contract and award managers to ensure the proper execution of sub awards ensuring the terms and conditions of awards are properly reflected as flow-down terms and conditions to sub recipients.
- Negotiate terms and conditions of sub award agreements with sub recipient organizations.
- Oversee the proper management of sub award records in IRES and in Workday for accuracy.
- Obtain and review financial and other documentation of sub recipient to evaluate financial stability, internal controls and performance history of sub recipients.
- Determine level of risk of each sub recipient and consider risk mitigation strategies to reduce Yale and Sponsor risk exposure.
- Responsible for reading and interpreting sponsored award documents and apply understanding of federal and other sponsoring agency policies to ensure the sub recipient’s financial obligations adheres to expectations of Yale and the sponsor, as well as identification of special terms and conditions that may be required.
- Identify and resolve problematic reporting and invoicing clauses that are not being met by the sub recipient and communicate effective resolution with the PI and department business office.
- Create and ensure accurate grant line set up in the University’s financial system for all after-the- fact sub awards.
- Create and manage supplier contracts in the University’s financial system.
- Ensure exceptional customer service to faculty, staff and sponsors while at the same time providing appropriate institutional oversight and sponsor stewardship.
Required Education and Experience
Bachelor’s degree and 3 years of experience in a related field or an equivalent combination of education and experience.
Salary Range: $68,000.00 - $120,500.00
