Primary Duties and Responsibilities:
Manage all services and operations of an off-campus Learning Commons and Testing Center (LCTC) in collaboration with the Assistant Manager of Learning Support Services. Work with other LC Supervisors, Academic and Specialized Testing Coordinators, and COD faculty to provide a professional testing and academic support environment for students and community members.
Manage the daily operations of assigned off-campus Learning Commons and Testing Centers including: service delivery to walk-in testers, scheduled specialized (high-stakes) testers, student inquiries, community member inquiries, academic support inquiries, instructor requests, etc. Maintain the testing lab, open computer lab, etc. in order to deliver the best possible experience for testers, students, and community members. Train, supervise, and evaluate Instructional Assistants (PT and Temp) in the administration of placement, diagnostic, academic and high stakes tests. Create and manage the staff schedules to assure proper coverage based on anticipated test deadlines and semester schedule. Understand and assure that FERPA policy is followed by staff. Assure that the site is compliant with the latest version of placement testing preparation/resources, and that the placement testing process is properly communicated to students. Assure that the Learning Commons and Testing Centers implement proper candidate identification procedures. Develop, maintain, and update operational systems. Oversee the testing computer program inventory, assuring that all specialized and academic testing programs are up to date. Ensure compliance with high-stakes testing company proctor certification and center specification requirements. Troubleshoot and resolve electronic program delivery issues and provide immediate tech support for examinees. Collaborate with COD IT Department and Specialized Testing companies regarding ongoing technical maintenance issues and evolving needs. Oversee that the test surveillance system is up to date and compliant with test vendor specifications. Manage high-stakes electronic test vendor scheduling systems to ensure compliance with implementation and customization requirements. Establish testing schedules for each vendor to maximize testing computer availability while also accommodating spikes in academic testing volume during peak periods. Communicate with supervisors and staff at off-campus Learning Commons locations, coordinators and staff in the Glen Ellyn Academic and Specialized Testing Center, Virtual Testing Center supervisor and staff in various other College departments to refine and improve policies, procedures, and accuracy of materials/resources. Coordinate with center instructors to conduct meet and greets with classes each semester. Conduct outreach to center instructors to inform of in-person and portal testing options. Work with faculty to deliver classroom tests and resolve testing concerns. Coordinate with Center for Access and Accommodations to provide testing services for students with special needs, especially in the use of adaptive furniture/equipment and testing software. Provide private testing accommodations as needed. Develop and update procedures for best practices for handling test delivery, test security, and academic integrity. Ensure academic and specialized test integrity policies and procedures are followed based on test vendor specifications and COD's Code of Academic Conduct. Confirm Managers, Dean of Students, Instructors, and/or testing vendors are provided with the required documentation outlining testing violations. Maintain strong relationships with main campus outreach and Learning Commons academic support coordinators to enhance and maintain understanding of academic support services. Collaborate to determine need for service expansion to the off-campus locations. Plan and implement student outreach events at the off-campus Learning Commons to promote academic assistance opportunities. Establish strong working relationships with off campus center supervisor and staff. Collaborate with the center supervisor and staff to assure direct lines of communication are maintained related to safety, building use, outreach events, and customer service. Provide manager with monthly testing activity and revenue reports. Track data and prepare reports for program expansion and annual reporting. Manage the Learning Commons site budget and supplies. Participate in leadership, supervisory and managerial meetings and college-wide activities representing the Learning Commons and Testing Centers. Respond to emergencies occurring at the work site and implement evacuation or safety procedures. Special projects and other duties as assigned.
Qualifications:
Education
- Bachelor's Degree required.
- Bachelor's Degree with additional coursework in education business or finance preferred.
Experience
- Experience as Instructional Assistant or equivalent position in an educational institution required.
- Experience with students of diverse backgrounds and educational abilities required.
- Professional experience in working with students and community members required.
- Ability to work with a high degree of autonomy required.
- Excellent oral and written communication skills required.
- Three to five (3-5) years of coordinator/supervisory experience required.
- Proficient in use of the English language required.
- Good computer skills required.
- Proficiency with MS Office Suite, MS Teams, Zoom, Google Drive, Blackboard preferred
- Three (3) years' experience as an Instructional Assistant or equivalent position in an educational institution preferred.
- Experience with students of diverse backgrounds and educational abilities preferred.
- Advanced computer skills preferred.
Working Conditions:
Fax, PC's, printers, copier, calculator, audio and video equipment, camera surveillance system, and library media scanner. 40 hours per week; day, evening and weekend. Requires regular travel to main campus and to other regional sites. This position requires a background check and drug screen.
This position requires some evenings and Saturdays.
Hiring Range:
Starting pay begins at $26.25/hr. based on experience.
Competitive starting pay is dependent on education and experience.
