POSITION PURPOSE
The Campus Visit Coordinator reports to the Director of Admission Operations, and is responsible for the many aspects of the campus visit program, providing administrative assistance to the Admission Officers, serving as a backup receptionist, supervising 50+ student workers and organizing the visits to campus of various students and counselors.
PRINCIPAL ACCOUNTABILITIES
- Ensure all aspects of the campus visit program are planned effectively and procedures implemented. Train student assistants and staff backup to assist with the program.
- Provide customer service to prospective students and families by scheduling campus tours, overnight stays, class visits, specialty tours and informational meetings. Process overnight waiver report. Enter prospective students’ information into the database. Organize visit itineraries to be distributed to visiting students and their families.
- Manage and schedule overnight hosts, lunch and room hosts and specialty tour guides. Work with Visit Team and A-Team coordinators to schedule tour guides and assist with A-Team management.
- Serve as greeter and facilitator to guests coming into the Office of Admission, including orienting visitors on their arrival and accommodating their requests. Answer telephones as needed.
- Manage creation and input of visits and related visit events into the Slate CRM.
- Assist the admission program by supporting admission officers as they plan programs and communicate with prospective students and their families. This may include clerical tasks for the Campus Visit Program, the Visit Scholarship Program, the Garrett/Sherwood Program, the High School Guidance Counselor Campus Visit Program, and Visitors’ Days.
- Build cross-campus relationships with faculty and staff to enhance the visit experience for prospective students and their families.
- Collaborate with Associate Director of Enrollment Systems and the Director of Admission Operations on the creation and continued improvement of a seamless event registration and reporting process through the Slate CRM.
- Correspond with Residence Life, Security, and the Health Center regarding overnight visitors.
- Work with coaching staff on prospective student athlete visits.
- Compile information for monthly and yearly reports.
- Work with outreach programs and school coordinators to organize group visits.
- Assist with other projects as workflow allows.
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
Must be able to explain and/or demonstrate possession of the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation. Specifically,

- Communicate effectively on the telephone and in person with students, parents, and other campus departments and individuals.

- Computer skills including word processing (Word), spreadsheet/database (Excel), and ability to learn specialized department software systems.
- Excellent interpersonal, language, and communication skills, as well as an awareness of the sensitivities of others.
- Ability to function well during stressful times of heavy workloads and constant interruptions.

- The essential functions of this position may necessitate interaction with other staff on the upper floors of a historic building not equipped with an elevator and climbing stairs is necessary.
- Ability to sit for an extended period of time and be capable of intensive keyboarding for extended periods of time.
- May need to lift heavy materials, up to 50 lbs.
MINIMUM QUALIFICATIONS
- Associate Degree or the equivalent in experience.
