Position Focus:

Under leadership of the Staff Accommodations Manager, the Staff Accommodations Program Administrator will support the Yale community on staff accommodations cases requested under the Americans with Disabilities Act Amendments Act (ADAAA). Independently manages cases by ensuring proper action steps have been taken during the intake process, medical documentation collection process, and then navigates through the interactive process with staff, managers and HR Partners. During the interactive process, helps facilitate the decision-making process on behalf of the University, in the support of reasonable accommodations requests, where possible. Responsible for building, maintaining, and managing relationships with vendors and Yale employees. Effectively coordinates with third party administrator (TPA) on cases/claims to include general administration, comprehensive case management and program compliance. Educates the Yale community on compliance with the ADAAA related federal and state laws, as well as University policies.

Provides pro-active, extensive case management and addresses all aspects of claims. Troubleshoots escalated claims and seeks to resolve conflict. Independently resolves issues that arise to ensure timely and complete resolution to cases.

Engages in an interactive process with staff members and University leadership to evaluate requests for individualized disability and job-related accommodations. Performs interviews to gain a foundational understanding of individual needs and department business processes.

Analyzes medical restrictions and limitations for staff to facilitate their return to work or stay at work, including Leaves and Disability, Workers’ Compensation, etc.

Oversees and coordinates the return to work process for employees following leaves of absence due to medical reasons, ensuring alignment with medical recommendations, accommodations requirements, and organizational policies. Collaborates with external partners like TPA and internal stakeholders including department managers and HR partners to facilitate smooth transitions and compliance with ADA. Ensures timely and effective communication, especially in cases involving adjustments to planned return dates or required accommodations.

Interfaces with internal team members on cases that are interwoven with leaves of absence, workers’ compensation and other benefits matters to troubleshoot issues, address concerns, and establish the proper course of action for claims moving forward in compliance with law, University policy and bargaining agreement.

Assists staff with solving obstacles unique and/or common to individuals with disabilities.

Tracks program activities related to ADA and regularly informs leadership of progress on each initiative. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of missions, goals, and objectives.

Works with a variety of constituents – staff, managers, HR Partners, union leaders, Environmental Health and Safety, Office of Institutional Equity and Accessibility, Office of General Counsel, etc. to determine reasonable accommodations needed for staff professional success.

Essential Duties

1. In support of the overall mission, plans, directs, and oversees programmatic activities. Assumes primary accountability for disseminating and publishing all program information to create public awareness and support of the program. 2. Works closely with leadership, internal and external colleagues, and community residents to further develop and implement strategic plans. 3. Oversees the development of detailed plans and successful implementation of projects in concert with stakeholders.4. Works closely with business analysts, technical professionals, end users, and project stakeholders during the requirements, solutions design, and implementation phases to develop detailed project plans for implementation. 5. Oversees and trains all student employees and summer program staff.6. Develops the administrative infrastructure of the program that supports the strategic direction of the program from leadership. Oversees human resource and administrative functions of the program.8. Investigates, identifies, implements, and oversees the maintenance of systems to gather, track and report information to support the initiatives of the program. Tracks all program activities and regularly informs leadership of progress on each initiative. Recommends structural or programmatic adjustments, changes or additions based on full knowledge of missions, goals and objectives.9. Works on risk assessment, communication planning, and program entry criteria. 10. Create detailed project plans, including timelines, budgets, and resource allocation, to ensure the successful completion of the project.11. Manages client expectations and provides issue/risk identification and escalation pathways.12. Analyzes user needs and proposes new training programs or systems.13. Designs, develops, and executes communication systems to ensure effective exchange of information between project stakeholders, senior management, and staff.

Required Education and Experience

Bachelor's Degree in a related field and four years of related experience or an equivalent combination of education and experience.

Required Skill/Ability 1:

Knowledge and understanding of ADA and PWFA regulations, guidelines and standards as applicable to an academic and/or workplace setting. Knowledge and understanding of HIPAA, FMLA and related Federal and State privacy laws and regulations.

Required Skill/Ability 2:

Proven counseling, mediation, investigatory and conflict resolution skills. Skilled in facilitating problem solving. Ability to handle complex situations, particularly those with a high level of confidentiality and the ability to manage and prioritize multiple ADAAA cases. Ability to use independent judgment to manage and impart confidential information

Required Skill/Ability 3:

Proficient computer skills including Excel, Word and Power Point and electronic databases. Strong team orientation.

Required Skill/Ability 4:

Strong critical thinking, analytical, planning and organizational skills and the ability to understand and explain complex policies and regulations.

Required Skill/Ability 5:

Ability to deliver effective presentations to large and small audiences. Ability to communicate with and relate to individuals of diverse disabilities and backgrounds.
