Teaching Fellows Program Specialist
The Teaching Fellows Program Specialist supports the Teaching Fellows Program by managing key areas such as recruitment and admissions, scholarships and financial aid coordination, record keeping, communication, program logistics, and alumni engagement. The role ensures seamless operations while providing exceptional service to prospective, current, and alumni fellows, contributing to the program’s growth and success.
Duties and Responsibilities / Essential Job Duties:
Recruitment and Admissions:
- Conduct applicant data dives to track candidate history (high school senior, transfer, MAT program, etc.).
- Set up virtual, in-person, and regional information sessions.
- Outreach and follow-ups with prospective students for North Carolina Teaching Fellows and NC State.
- Maintain and update SWAG (marketing) items for fellows and recruitment events.
- Coordinate individual meetings with prospective TF students across pathways (HS seniors, transfers, post-bachelor).
Scholarships and Financial Aid:
- Work with the Office of Scholarships and Financial Aid to ensure estimates are provided to students.
- Collaborate with NCSEAA for fund disbursement.
Record Keeping and Data Management:
- Update registration and records to ensure TF students receive priority registration.
- Maintain alumni databases, track teaching careers, repayment, and build alumni networks.
- Compare current TF records with Statewide TF records and investigate discrepancies
Scheduling and Communication:
- Manage high email volumes and assist with follow-ups to students and stakeholders.
- Support scheduling tasks for the TF Director to avoid double bookings.
- Carve out time for drop-in opportunities for students.
Financial and Administrative Support:
- Assist with p-card charges and tracking.
- Investigate processes for licensure test reimbursements.
Travel and Event Logistics:
- Plan and organize trips, including booking transportation, hotels, meals, and experiences.
- Provide transportation: driving up to a 15 passenger van
- Coordinate and attend field trips and high/low impact activities.
- Assist with logistics for PGU experiences and Monday Night Forums.
- Organize freshman orientation/overnight retreats.
Post-Bachelor MAT Program Coordination:
- Plan and program conferences and opportunities for MAT students.
- Mail Surface Go 4 devices to students across NC.
- Build personal relationships and invest in fellows’ success through outreach and advising.
Alumni Outreach:
- Publish monthly newsletters to engage alumni and highlight opportunities.
- Track alumni teaching locations and career progress.
Advisory Board and Volunteer Coordination:
- Assist in setting up the TF Advisory Board.
- Support volunteer coordination tasks to ensure smooth operations.
Other Responsibilities:
- Other tasks and responsibilities may be assigned based on the needs of the organization and evolving priorities.
Minimum Experience/Education:
Bachelor’s degree; or an equivalent combination of training and experience.
All degrees must be received from appropriately accredited institutions.
Preferred Qualifications:
- Previous K-12 teaching experience
- Current teaching license in North Carolina
- Familiarity with financial aid systems
Required License or Certification:
- Valid driver’s license required.
- NC driver’s license within 60 days of hire.
