Your next career opportunity: As a Timetable Analyst in the Exams and Graduations group, you'll play a pivotal role in creating examination timetables for up to 100,000 students. You'll have the opportunity to leverage your data analysis skills and system expertise to optimise the creation of large-scale exam timetables, while collaborating with various stakeholders to improve processes. This role offers you the chance to directly impact student experiences and contribute to the future of digital examinations in a dynamic university environment.
Your responsibilities will include:
- Create and Optimise Examination Timetables: Develop semesterly timetables using advanced data analysis and system configuration to ensure smooth operations for up to 100,000 students.
- Data Integration and Organisation: Using Power Query and Python to highlight Examinations & Graduation inconsistencies and suggested fixes.
- Analyse and Improve Processes: Conduct reporting and analysis on Examinations and Graduations activities, providing commentary and identifying opportunities for improvement.
- Collaborate with Stakeholders: Liaise with faculties, Learning Environments, and technology partners to integrate various requirements into the timetabling process.
- Support Graduation Events: Assist in scheduling students for ceremonies, managing data flows, and providing on-site support during graduation periods.
You may be a great fit if:
You are a detail-oriented professional with strong data analysis skills, experience in timetabling or mathematical modelling, and the ability to automate business processes while collaborating effectively with diverse stakeholders in a fast-paced environment.
You will also:
- Have experience in producing timetables or similar large-scale mathematical exercises/modelling.
- Possess strong skills in data manipulation, analysis, and presentation of insights.
- Be proficient in automating business processes using tools like Power Query, Power BI, Python, or advanced Excel.
- Have excellent communication skills and the ability to confidently liaise with various stakeholders.
- Have excellent time management and self-guidance skills.
- Demonstrate attention to detail and the ability to create quality documentation.
- Be adaptable and able to think on your feet in high-stress situations.
- Have experience in database management and automation tools.
- Be a strong team player, maintaining focus and productivity in a busy, changing environment.
- Ability to operate in high stress event environments

Your new team – Student and Scholarly Services
Student and Scholarly Services provides student administration and services from recruitment and point of enquiry to graduation. This team also delivers well-being and scholarly services to students and staff.
This role sits within the Graduations & Examinations team, which works to align systems and data, operations and event logistics to deliver high quality events on behalf of the University. The key deliverables include Examinations, Graduation Ceremonies, and Melbourne Commencement Celebrations.
Exams take place across 6 annual periods, including:
- Summer and Summer Supplementary (Supps) period (Feb-March);
- Semester 1 (Main and Supps (June – July);
- Semester 2 (Main and Supps (Nov - Dec).
In person Graduations occur bi-annually, with ~10 ceremonies held in August and ~25 in December.
Commencement Celebrations are held over a 5-day period in February.
