University Enrollment Projects Specialist, Office of University Registrar

The Office of the University Registrar (OUR), within the Office of Academic Affairs (OAA) at CUNY Central Office, ensures academic integrity by communicating institutional policies and serving as a key resource for the CUNY community. OUR supports the consistency, accuracy, and integrity of student academic records and enrollment-related processes across CUNY’s colleges and schools. In doing so, the office helps ensure that students receive consistent, high-quality services aligned with the University’s commitment to maximizing student success. Additionally, OUR works closely with campus registrar offices and central administrative units to support policy implementation, system operations, and student services that advance University priorities and student success initiatives. OUR fosters an inclusive and collaborative environment that supports students, alumni, faculty, administrators, staff, and the broader community in furthering the educational mission of the University.
Reporting to the Deputy University Registrar, the University Enrollment Projects Specialist supports university-wide enrollment and student records initiatives through administrative, technical, and project-based support activities. The University Enrollment Projects Specialist serves as a primary liaison between the University Registrar and the college registrar offices, and is responsible for the handling campus inquiries, system-related requests, operational support, and escalating issues to appropriate teams and/or leadership, as needed. The Projects Specialist's focus will be with system operations, documentation, communications, reporting, and campus-facing support related to registration, academic records, and enrollment services.
In addition to the job summary above and CUNY Title Overview below, other key duties include, but will not be limited to the following:
- Participate in and support university-wide enrollment and registrar initiatives by supporting project oversight activities, including documentation, communications, task tracking, and ensuring completion of deliverables.
- Serve as a primary point-of-contact for user security access requests related to registration and student records systems, including processing requests, maintaining access records, and collaborate with Computing and Information Services (CIS) and campus designated Access Security Liaisons (ASLs) in accordance with established procedures.
- Monitor, track, and follow-up on system access, technical, and operational issues impacting enrollment and student records functions, escalating matters as appropriate.
- Administer daily operations and system activities related to student records and enrollment platforms, including PeopleSoft-based CUNYfirst Campus Solutions, Schedule Builder, Coursedog, EAB Navigate, DegreeWorks, National Student Clearinghouse reporting, and related systems.
- Assist with system configuration, testing, updates, data review, validation, and reconciliation activities under the guidance of senior staff and functional leads.
- Serve as a campus-facing resource for registrar offices by responding to inquiries, disseminating guidance, and supporting preparation for course scheduling, registration, and enrollment activities.
- Research and assist with the resolution of CUNYfirst system related issues; provide end-user guidance and trainings, as needed.
- Provide comprehensive administrative, operational, and HR support for OUR and the University Executive Registrar, including issue intake, tracking, follow-up, resolution, and communications; manage departmental HR functions such as timesheets, scheduling, mandatory training oversight, and coordination of onboarding schedules and materials for new staff.
- Maintain and update OUR policies, procedures, training materials, reference documentation, and website content, including the staff directory and academic calendar updates.
- Analyze and prepare standard and ad hoc reports to obtain insights in supporting operational needs and decision-making.
- Ensures compliance with University policies and legal requirements governing the confidentiality and security of student records, including FERPA, by following established procedures and escalating concerns as appropriate.
- Perform related duties as assigned.

Until further notice, this position is eligible for a hybrid work schedule.
QUALIFICATIONS
Minimum
Bachelor's degree and 4 years' related experience required.
Preferred
- Strong proficiency and working knowledge of national standards and best practices related to administration of academic records, policies and procedures, and/or student information.
- Experience supporting administrative, technical, or operational functions within a multi-campus or complex higher education environment.
- Experience with PeopleSoft Campus Solutions, PeopleSoft Query, ERP/CRM systems, Coursedog, EAB Navigate, and/or comparable higher education platforms.
- Experience with enterprise system implementations, upgrades, and/or process improvements.
- Strong organizational and analytical skills with attention to detail to analyze data and budgets to drive decision-making.
- Excellent written, verbal, and interpersonal communication skills, with the ability to work effectively and collaboratively with a diverse community of learners, campus staff, enrollment management leaders, and external stakeholders in a large public university system.

Administers one or more centralized student enrollment services, processes and related functions and technologies:
- Collaborates with management team in the development of admission and enrollment goals, strategies, and initiatives; participates in planning enrollment events
- Analyzes and interprets quantitative and qualitative student enrollment data to prepare reports for management
- Recommends and implements to existing technical systems and office operations
- Serves as resource reference to interpret and comply with University policies
- Prepares, reviews, and coordinates the production and distribution of student communication materials
- May coordinate aspects of student entry from point of acceptance to include orientation, advisement, and collection of admitted student documents
- May supervise office operations, staff and/or department budget
- Performs related duties as assigned.

COMPENSATION AND BENEFITS
The salary range is $59,493 - $68,364 , commensurate with credentials, education and experience.
Effective 9/1/26, salaries will be adjusted by 3.25% in accordance with the terms of the PSC-CUNY collective bargaining agreement for eligible employees.
