SUMMARY
SUNY Brockport is accepting application for an Assistant Registrar - Degree Works Specialist. Reporting to the Registrar, this position is responsible for administering and optimizing SUNY Brockport's degree audit system (Degree Works), ensuring accurate academic progress tracking and compliance with institutional policies. The Assistant Registrar plays a critical role in supporting student success by maintaining audit integrity, configuring degree maps, and providing training to faculty, advisors, and staff. They will collaborate across campus units to integrate evidence-based strategies that advance SUNY's Academic Momentum Campaign (AcMo) goals, including improved graduation and retention rates. By embedding these priorities into Degree Works functionality, this role helps students stay on track for timely degree completion. Strong technical, analytical, and communication skills are essential, as the Assistant Registrar serves as a liaison between the Registrar's Office, IT, Academic Affairs, and Student Success teams. This role contributes to process improvements, policy implementation, and strategic initiatives that enhance operational efficiency and student outcomes.
JOB FUNCTIONS
Essential Functions:
Degree Works Administration & Curriculum Implementation
- Administers and maintains Degree Works by scribing all new curricula and coding approved changes from University Senate/State Ed, ensuring degree maps and audits reflect current requirements to support timely completion and Academic Momentum goals for graduation and retention.
- Updates Banner tables and runs Transit processes to refresh student audits, maintaining real-time accuracy that enables advisors to monitor progress toward 30+ first-year credits and gateway course completion.
- Fields and resolves Degree Works questions from faculty and departments; meet with units to ensure smooth adoption of updated curricula and audit tools.
- Attends professional development opportunities including SUNY-wide Degree Works and Banner trainings, webinars, and conferences to stay current on system enhancements and best practices.
- Collaborates with IT and SUNY SICAS/ITEC for testing new releases, coordinating database cloning, and reporting issues through ServiceNow; provide feedback on upgrades and participate in Q&A sessions for rollout schedules.
- Tests and implements system upgrades for Degree Works, Transit, and Banner Student functionality, ensuring reliable tools for proactive advising and early alerts aligned with AcMo strategies.
- Collaborates with academic departments to review and roll out approved curricula, providing feedback on proposals and ensuring accurate audit logic that supports structured degree maps and reduces barriers to on-time graduation.
- Processes course substitutions and graduate transfer credits in Banner and Degree Works to maintain accurate degree audits, supporting seamless transfer and credit recovery initiatives tied to Academic Momentum priorities.
- Generates and analyzes reports from Degree Works and Banner to monitor progress on Academic Momentum metrics-graduation rates, retention, first-year credit accumulation, and gateway course success.
- Supports creation of dashboards with IR/IT; translates data into actionable recommendations for advisors and departments.
Registration, Records, and Graduation Support
- Processes course substitutions (email/MachForm), uploads documentation to imaged records, and applies graduate transfer credit in Banner and Degree Works.
- Assists with schedule of classes updates; registers senior auditors; processes quick admissions; reviews students for graduation and degree certification.
- Responds to faculty/Associate Provost inquiries; executes registration updates (adds/drops/withdrawals), grade changes, and course substitutions per policy.
- Works closely with the Degree Completion Specialist and Academic Affairs to correct/update audits and registrations.
- Coordinates with ASC and Admissions on newly approved programs for accurate audit and registration setup.
- Provides backup support for registration processes, course scheduling updates, and graduation reviews during peak periods or staff absences.
Non-Essential Functions:
- Participates in campus committees and governance such as Banner Steering and University Senate, contributing to policy discussions and decisions on workflows and system upgrades.
- Serves as a campus liaison for SUNY communities of practice, sharing Brockport's Degree Works innovations and learning from peer institutions to enhance systemwide student success strategies.
- Assists with grant or funding proposals related to student success technology or Academic Momentum initiatives, including drafting data narratives and impact statements.
- Contributes to policy development discussions for academic progress offering operational perspectives on feasibility and implementation.
- Engages in professional networking and research to identify emerging best practices in degree audit systems, advising technology, and retention strategies; share findings with leadership.
- Represents the Registrar's Office at campus events (orientation, advising fairs, student success workshops) to promote Degree Works and answer questions about academic progress tools.
REQUIREMENTS
Minimum Qualifications:
- Bachelor's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized college or university
- Minimum of two years of experience in higher education, preferably in a registrar's office or student records environment
- Demonstrated experience with student information systems and/or degree audit tools (preferably Degree Works and Banner); strong proficiency with data integrity and audit interpretation
- Excellent analytical skills and attention to detail; ability to interpret complex curricula and translate them into system logic
- Strong communication, training, and customer service skills; ability to collaborate across academic and administrative units
- Commitment to equity-minded practices and confidentiality (FERPA)
Preferred Qualifications:
- Master's degree in higher education administration, information systems, data analytics, or related discipline
- Direct experience configuring/administering Degree Works in a higher-education setting; familiarity with Banner, SICAS, and SUNY data/reporting practices
ADDITIONAL INFORMATION
Work Schedule: 37.5 hours/week: Monday-Friday, 8 am-4 pm.
