Position Summary
The Part-Time Administrative Support Specialist is a part-time (20 hours per week) student-facing role that supports the program through student engagement, event and logistics coordination, and administrative support. This position works closely with program leadership and campus partners to deliver a well-organized, high-quality student experience for both undergraduate and graduate students, including evening and occasional weekend programming.
Work Schedule & Time Commitment:
This position is scheduled for 20 hours per week. Hours are primarily weekdays, with required Monday evening programming from 5:00-7:00 p.m. Occasional additional evenings and weekends are required to support events, student travel, and program-related activities.
Student Support & Community Engagement (40% - 8 hours/week):
The Part-Time Administrative Support Specialist provides academic advising support and referrals for targeted undergraduate students and all graduate students. The role includes mentorship and relationship-building through individual meetings and group engagement. Responsibilities include supporting and facilitating community-building activities such as social events, drop-ins, bowling outings, celebrations, and caring connections. The position assists with academic enrichment opportunities, including field trips, panels, guest speakers, and conferences, and supports cross-departmental communication related to student engagement and experience. The Specialist provides weekly support for the Fellows Forum (Mondays, 5:00-7:00 p.m.) and chaperones student trips, including local and regional travel.
Program Administration & Operations (30% - 6 hours/week):
The Specialist supports the planning and execution of program events and activities, assists with managing the program calendar and scheduling, and coordinates rooms, transportation, travel, and lodging for student-facing events. The role manages event-level logistics such as supplies, timelines, and run-of-show support. Additional responsibilities include supporting system-wide commitments, participating in team meetings and institutional events, and assisting with recruitment efforts such as information sessions and prospective student events.
Financial & Administrative Processing (20% - 4 hours/week):
This position assists with receipts, purchasing, reimbursements, and transaction documentation. The Specialist supports budget-related processes, including tracking expenses and preparing required documentation, and coordinates travel arrangements (hotels, meals, transportation) and reimbursements. The role also supports hiring and onboarding logistics for new staff or student workers and maintains administrative records to ensure compliance requirements are met.
Materials, Logistics & General Support (10% - 2 hours/week):
The Specialist organizes and maintains program materials, including swag and event supplies, picks up purchased items as needed, and assists with transportation for outings, including driving a passenger van or motor pool vehicle. The position provides general program support and performs other duties as assigned.

Required Qualifications:
- Ability to prioritize and execute multiple tasks efficiently, ensuring deadlines are consistently met even in high-pressure situations.
- Strong written and verbal communication skills to craft clear, persuasive outreach messages to prospective students, faculty, and external partners.
- Demonstrated ability to work collaboratively across multiple departments and with external partners.
- Skilled in coordinating the end-to-end planning of trips, special events, professional development activities.
- Technical proficiency in Microsoft Office Suite (MS Word, PowerPoint, Excel), Google Suite, digital communication platforms, and virtual meeting forums such as Zoom.
- Current driving license and clean driving record; comfort driving 15-passenger van for occasional outings (regional travel).
- Occasional lifting of boxes and supplies (up to 25 lbs).with or without reasonable accommodation
- Ability to work evenings (particularly Monday evenings) and occasional weekends.
Preferred Qualifications:
- Experience working within higher education
- Experience working at NCSU
- Experience with managing G-mail and google suite
