Job Description

The University of Notre Dame seeks to be one of the world's preeminent research universities with a distinctive Catholic character. The Provost is the University's chief academic officer who is responsible for the stewardship of this mission. The Provost leads the academic core of the University, serving as the principal representative of the academy to both internal and external constituencies and leading strategic academic initiatives on behalf of the University. The Provost is supported by a high-performing team, including Associate Provosts and staff, working in a collaborative and fast-paced environment.

The Office of the Provost invites a strategic and operational leader to join our team as the Academic Initiatives Program Manager (AIPM). The AIPM reports to the Special Assistant to the Provost and provides executive support and institutional strategy to the Vice President and Associate Provost for Teaching and Learning, and the Associate Vice President for Academic Finance and Administration. Additionally, the AIPM serves as the principal lead for high-profile institutional events, overseeing the planning and execution of key engagement efforts sponsored by the Provost. An ideal candidate for this versatile role is a professional who thrives on driving high-impact projects and is able to manage multiple and diverse tasks simultaneously.

Key Areas of Responsibility

Administrative Support (20%)

  • Provide adaptable, high-level executive support and complex calendar management for the Vice President and Associate Provost for Teaching and Learning and the Associate Vice President for Academic Finance and Administration, including:
    • Managing domestic/international travel, meeting cadences, urgent scheduling needs, budget tracking and expense management, project timelines, and managing data and calendars in a complex and fast-paced environment
    • Provide delegated support for executive expense reimbursement and needed travel authorizations.
  • Liaise with colleagues in partner offices to ensure the highest possible standards of planning and execution for initiatives led by the assigned Vice Presidents and Associate Provosts, including Notre Dame Learning, Office of the Registrar, Institute for Educational Initiatives, Directors of Finance in each college and school, and the Finance Division.

Projects and Committees (35%)

  • Manage data and projects on behalf of assigned Vice Presidents, contribute to the editing and distribution of reports, and compile and organize research and benchmarking related to teaching and learning initiatives and finance projects.
  • Manage operational support for key searches, projects, and reviews as assigned by the Vice Presidents and Associate Provosts including management of all invoices for search firms related to high level academic hiring.
  • Manage the distribution, tracking, and reconciliation of parking lot hangtag inventory for the relevant Provost units in coordination with Parking Services.
  • Drive best practices to execute the operational needs including facilitating the work of key committees such as the the Instructional Initiatives Review Committee (IIRC); tracking of key objectives, planning team meetings, and supporting the events for the ND Learning Unit and Academic Finance groups, including team retreats and the Shamrock Summit; and staffing key projects as assigned.

Principal Event Lead (35%)

  • With the guidance of the Special Assistant to the Provost, serve as the principal event planner for high-profile institutional events, including the Deans' Council/Provost's Cabinet Retreats, Faculty Recognition events, and special institutional events. Duties include vetting potential venues and vendors, planning meetings, meals, and supporting the success of the Provost's Office constituent engagement strategy.
  • Lead and coordinate Provost's Office staff engagement and morale initiatives, fostering a culture of service and community including staff retreats, holiday parties, and team activities.
  • Engage in continuous process improvement to ensure the highest standard of execution.

Shared Office and Project Support (10%)

  • Contribute to shared office operations and participate in or lead office-wide projects.
  • Serve on relevant committees and assist with emerging priorities as assigned.

Qualifications

  • Education Qualifications: Bachelor's degree (4 years)
  • Experience: 5 to 6 years
  • Skill Qualifications:
    • Must be strategic, highly organized, detailed oriented, and skilled in prioritizing tasks.
    • Must have ability to work in a fast-paced office, on a variety of projects, with multiple team members.
    • Must possess strong organizational skills alongside outstanding written and verbal communication skills.
    • Candidates should have experience contributing to and building a team along with the ability to identify and solve problems and inefficiencies.
    • Ability to maintain confidentiality is imperative.
