The Academic Operations Coordinator I will play a vital role in supporting the instructional and administrative functions of the Natural Sciences Unit, which encompasses four academic departments. This position will serve as the primary liaison for course scheduling, academic operations, faculty support logistics, and cross-departmental coordination with the Registrar, Facilities, and administrative leadership. The ideal candidate brings scientific literacy, logistical acumen, and excellent communication skills to ensure timely, accurate, and student-centered academic operations.
Duties and Responsibilities:
- The Academic Operations Coordinator I supports the Senior Director of College Operations by providing dedicated operational support to the Departments of the Natural Sciences Unit:
- Builds and manages course schedules in Banner/CLSS (lectures, labs, recitations, cross-listings, co-/pre-reqs, instructor loads, low-enrollment monitoring) for Biological Sciences and Chemistry/Biochemistry in conjunction with Department Chairs.
- Coordinates rooms, labs, and specialized spaces with the Registrar, Lab Services, EHS, IT/AV, and Facilities to ensure appropriate science classrooms, lab safety, and technology readiness for these departments.
- Oversees academic and lab operations, including catalog updates, governance submissions, lab prep sequencing, stockroom capacities, and hazardous waste pickups, helping to maintain smooth operations within the Senior Director’s portfolio.
- Assists with troubleshooting equipment maintenance needs and coordinates the acquisition of service contracts with reputable vendors, in collaboration with Lab Services and the Senior Director, to minimize downtime and protect College assets.
- Supports and onboards faculty and adjuncts (assisting with coordinating safety training, system access, LMS shells, instructional packets) and serves as a liaison between the two departments, the Dean’s Office, and central units.
- Develops and maintains data dashboards and reports on teaching loads, seat utilization, section-fill patterns, and room-type demand to inform the Senior Director’s curriculum, space, and resource decisions.
- Assists Senior Director with documenting and improving processes (SOPs, workflows, timelines, MS Forms/Power Automate tools) specific to scheduling and lab operations in these departments, advancing the Senior Director’s efficiency and oversight.
- Supports procurement activities related to academic and lab operations in Biological Sciences and Chemistry/Biochemistry.
Required Qualifications:
- BS in Business Administration, or Science/Technology (biology, chemistry, biochemistry, physics, computer science, information technology, environmental sciences, applied mathematics, statistics, data science, or sustainability sciences)
- 5-8 years total full-time work experience with progressive responsibilities.
- At least 3 years in Higher Education administration, Registrar, or Facilities.
- Working knowledge of Biology/Chemistry/Physics/Environmental Science teaching-lab realities (wet-lab safety limits, multi-hour blocks, co-/pre-req pairing, stockroom capacities).
- Advanced Excel (lookups, pivots, data validation), Word (templates), Outlook (mail merges/rules), Teams/SharePoint (request forms, trackers).
Desired Qualifications:
- MBA or MS (biology, chemistry, biochemistry, physics, computer science, environmental sciences, applied mathematics, statistics, data science, and sustainability sciences)
- At least 5 years of experience with scheduling tools with room assignment platforms, section change workflows; light Power Automate/Forms for approvals is a plus.
- Exports from SIS, cleans, and visualizes in Excel/Power BI (basic dashboards).
Salary Range:
$54,400 - $74,800
