Administrative Assistant 1
Job Summary
This position provides administrative support to the division of Nephrology faculty, APPs, Business Ops Specialist and fellows. This position serves as the fellowship coordinator for Nephrology, and liaison for our dialysis and prison contracts. This position provides support to the division of Nephrology and assists with day-to-day tasks.
Responsibilities
The responsibilities include, but are not limited to:
Program Coordinator-Nephrology:
- Creates and maintains schedule for incoming nephrology applicant interviews.
- Pre-screens nephrology applicants via ERAS software for possible interview eligibility.
- Responsible for all stages of interview invitations and scheduling.
- Coordinates with Program Director to create Match List for submission.
- Receives and responds to email, phone and other inquiries for fellowship.
- Interacts with individuals eligible for post- match recruitment.
- Manages onboarding process for new nephrology fellows.
- Drafts annual rotation schedule for nephrology fellows and works with nephrology chief fellow to finalize.
- New Innovations - manages all aspects of evaluation process for nephrology fellows and maintenance of duty hours records.
- Manages all fellow record needs for ACGME reaccreditation.
- Maintains excellent relationships with former nephrology fellows and former nephrology faculty.
- Responds to requests for fellow verification from hospitals, licensing boards, etc.
- Plans events, graduation.
- Attend GME bimonthly meetings, annual GME retreat, and, when appropriate, the annual ACGME Conference.
- Manages conference schedule.
- Works with other staff to ensure fellow schedule is accurate in Qgenda and on call calendar.
- Manages requests for future cancellations and clinic changes for fellow and APPs, in coordination with position 2.
Assistant for Weekly Prison Clinic:
- Receives meeting invitation for prison clinic.
- Received and prints prison clinic notes.
- Scans and returns notes.
- Monthly Prison Time for Faculty submitted to Seth Griffin.
Faculty Support:
- Manages yearly Nephrology division computer/IT inventory.
- Checks annual equipment inventory.
- General support for Nephrology Program Director.
- Admin Support for other nephrology faculty.
- Answer phones.
- Schedule meetings as needed.
- Monitor faxes.
- Nephrology POC for pharmaceutical and other external reps.
- Travel Authorizations and Reimbursements.
- Reviews faculty leave to ensure vital services are covered and clinics canceled as needed.
Student and Resident Education Admin:
- POC for guest students, guest residents, observerships.
- Confirms coverage by residents with HS office as needed, crucial for holidays.
- Order supplies for lab when lab is reinstated.
Dialysis Responsibilities:
- Tracking and submitting APP mileage monthly.
- Blanket travel requests for Nephrology Faculty and Fellows.
- Updates monthly dialysis rounding sheets.
- Submits billing list monthly, ensure faculty are up to date.
Required Qualifications
Associate's degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support position
OR
A high school diploma/GED from a recognized State or Federal accrediting organization and six years of progressively responsible experience in administrative support positions
Preferred Qualifications
Preferred Experience
Experience in student affairs, student services, or auxiliary services section of higher education; strong human resources ability; financial or budget aptitude.
Knowledge, Skills, & Abilities
- Ability to maintain confidentiality.
- Detail-oriented.
- Excellent interpersonal, verbal, and written communication skills.
- Proficient in Microsoft Office and other computer software/databases.
Shift/Salary/Benefits
Shift: Days/M-F
Pay Band: B2
Salary Range: $15.77/hourly - $18.89/hourly
Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Conditions of Employment
All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.

Motor vehicle reports are required for positions that are required to drive an Augusta University vehicle.
