Administrative Assistant
Reporting to the Director of Faculty Support Services, the Administrative Assistant provides assistance to the Director of the Humanities Institute by supervising and coordinating the administrative activities of the Humanities Institute.
ESSENTIAL FUNCTIONS:
- Coordinate and supervise the administrative operations of the Scripps College Humanities Institute.
- Participate in planning of future Institute events.
- Attend and staff Institute Advisory Committee meetings providing necessary documentation, reports, and data for planning discussions.
- Act as liaison with appropriate faculty and staff of the colleges, administrative offices, committees, and outside sources for conducting and planning programs of the Humanities Institute, including maintaining a calendar of events and related activities sponsored by the Humanities Institute, assisting in planning Humanities Institute events, planning and implementing travel and lodging arrangements for Institute guests, coordinating room reservations with master calendar, planning meals and receptions, tracking attendee reservations.
- Assist Director in coordination and implementation of Institute Junior Fellowship Program.
- Write reports, meeting minutes, correspondence, and other documents as needed.
- Coordinate production and dissemination of publicity and promotional material for Institute events, coordinating with the Scripps College Marketing and Communications Office for event publicity; coordinate publicity through College website and social media outlets.
- Inform faculty, students, and administration at The Claremont Colleges, and the broader Claremont community of programming sponsored by the Humanities Institute.
- Maintaining routine files and records for the Humanities Institute.
- Participate in annual budget preparations, monitor Institute over fiscal year, pay invoices, order supplies, and reimburse expenses as appropriate.
- Hire, train and supervise work-study students.
- Perform other duties as assigned.
- Active support for the College's Principles of Community and Principles of Diversity in the performance of job duties.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES: Individuals must possess knowledge, skills and abilities to successfully perform the essential functions of the position, or be able to explain or demonstrate how the essential functions will be performed, with or without reasonable accommodation, using some other combination of skills and abilities.
- Ability to do research and produce reports.
- Experience working with budgets.
- Excellent written and oral communication skills, exceptional organizational and administrative skills, and must be able to manage multiple tasks simultaneously in a complex institutional environment.
- Ability to manage and prioritize multiple projects in various stages.
- Demonstrated proficiency with database management systems.
- Ability to work independently and as part of a team.
QUALIFICATION STANDARDS: EDUCATION AND EXPERIENCE: Graduation from high school or any combination of education, training or experience that provides the required knowledge, skills, and ability. Experience with Word, Excel, Adobe Suites, WordPress, Canva, and social media platform posting is preferred.
HOURS & CLASSIFICATION AND STATUS: This position is a regular status, part-time (30 hours per week), 10-month, non-exempt and benefits eligible. Occasional evening and weekend event duties are required. The regular hours of this position are Monday-Friday 9:00 am-4:00 pm. Hours may vary due to the needs of the College or department. Hourly rate range: $20.00-$22.00.
