Description of Job Duties and Responsibilities
The Administrative Assistant will assist with a variety of administrative and operational tasks, including:
Administrative Support
- Completing weekly and bi-weekly reports
- Creating student/program rosters through the Fusion platform
- Scanning, copying, and filing departmental paperwork
- Preparing trip folders and participant documentation
- Maintaining organized digital and physical files
Program Coordination
- Assisting with birthday party scheduling and coordination
- Helping prepare paperwork and logistics for off-campus trips
- Answering phones and responding to inquiries related to trips and programs
- Clarifying participant details via email or phone when necessary
Event and Program Assistance
- Supporting staff during large campus events (e.g. Welcome Weekend, Homecoming, Up All Night, Day of Giving, etc.)
- Assisting with preparation for student trips, events, and youth programming
- Helping organize participant forms, waivers, and checklists
Minimum Qualifications
Candidates must meet the following requirements:
- Must be enrolled as a full-time student at Fairmont State University
- Must demonstrate courteous and professional communication skills
- Must have a general working knowledge of Microsoft Word, Excel, and basic computer programs
- Must be able to exercise proper procedures regarding confidentiality of participant information
- Must possess strong attention to detail
