POSITION: Administrative Assistant for Institutional Advancement & Student Affairs – Full-Time - Lufkin

EMPLOYMENT DATE: Until Filled

QUALIFICATIONS:

Required:

  • Associates Degree.
  • Work experience as an administrative assistant or similar role in an office setting.
  • Computer skills including proficiency with Microsoft Office Suite (including Word and Excel) and web browsers.
  • Language skills including excellent English language skills and interpersonal, listening, verbal, and written communication skills.
  • Organizational skills to include managing time effectively, prioritizing tasks, and preparing documents for meetings.

Preferred:

  • Experience in working with Donors.
  • Event planning experience.
  • Experience in Canva.

JOB DESCRIPTION:

The position will report to the Executive Director of Student Affairs and the Executive Director of Institutional Advancement for job responsibilities and other College related activities as outlined in the Policies and Procedures Manual. Essential duties include but are not limited to the following:

  • Perform general administrative support duties, ensuring efficient office operations;
  • Contribute to creating a customer service-oriented environment, professionally engaging with faculty, staff, students, and external stakeholders;
  • Handle routine inquiries and correspondence via phone, email, and in person, ensuring prompt and accurate responses;
  • Assist in donor stewardship activities, ensuring consistent communication and relationship building;
  • Enter and process vendor invoices and related data for timely payment;
  • Reconcile and maintain department budget information, tracking expenses, and preparing reports;
  • Maintain and manage an office calendar, scheduling meetings, appointments, and events as needed;
  • Gather data and information to assist in the preparation of reports and special projects;
  • Help plan and organize special events, ensuring logistical coordination and attention to detail;
  • Create and maintain detailed spreadsheets to track events, activities, and programs;
  • Oversee data entry and ensure accurate and up-to-date record keeping;
  • Coordinate meetings for both the Advancement and Student Affairs departments, ensuring all logistics are covered;
  • Assist in the preparation of materials for events, activities, and meetings;
  • Draft and send professional correspondence, including emails, notes, and letters;
  • Organize and maintain physical and digital files, records, and notebooks for easy retrieval; and
  • Uphold the highest level of confidentiality, professionalism, tactfulness, and ethics in all responsibilities.

CONTRACT & SALARY: $13.00 per hour, in addition to excellent employee benefits. Proof of identity and eligibility to work in the United States must be verified for the successful candidate.
