Position Highlights
The Curricular Affairs Office within the College of Medicine-Tucson is seeking a detail-oriented and organized individual to join our team as a part-time in-office Administrative Assistant. This role primarily involves supporting our Pathways in Health and Medicine (PHM) program with various administrative tasks. The ideal candidate will have excellent attention to detail, strong organizational skills, and the ability to work independently and will play a pivotal role in providing administrative support while engaging with medical students, physician-faculty, and staff.

Duties & Responsibilities
- Provide administrative support for the Pathways in Health and Medicine (PHM) Director and Program such as:
- Maintain the Session Tracker in Google Sheets to ensure session links, sessions schedules and due dates are up to date.
- Assist with the collection of lecture notes, including updating and sharing session details, PowerPoint presentations, test questions from coordinators and provide support to guest speakers.
- Set up calendar reminders of due dates for change forms and lecture notes for faculty and communicate room reservations, session format, and other session needs with the block coordinators.
- Create and administer post-session surveys using Microsoft Forms, including creating QR codes and generating PDF reports for the PHM team.
- Provide administrative support to Health Disparities & Medical Humanities in coordination with the Block Coordinator team.
- Collaborate with faculty to update Learning Objectives (LOs) and test questions in the tracker as changes occur.
- Lead the planning of the annual Tree Blessing Ceremony.
- Support and coordinate with PHM Faculty for PHM's Orientation Events.
- Attend Bi-weekly PHM meeting and help with the planning of their Bi-annual retreat.
- Attend monthly Curricular Affairs and Staff meetings.
- Attend TCMS bi-weekly and TCCS monthly meetings.
- Attend department and college-wide events related to the program and provide support, as needed.
- Collaborate for coverage and support with the Curricular Affairs Administrative Team.
- Provide support to the Office of Curricular Affairs and its visitors alongside other administrative staff. Perform other duties as needed or assigned to support departmental goals.
Knowledge, Skills and Abilities:
- Proficiency in using computer software, particularly Word and Excel.
- Knowledge in Polling Software and calendar management.
- Knowledge in using Word, Excel and Google Sheets.
- Strong written and verbal communication skills.
- Excellent organizational and time management skills to prioritize tasks effectively.
- Ability to work independently and collaboratively within a team when required.
- Strong attention to detail and ability to accurately handle complex data.
- Flexibility and adaptability to handle changing priorities and tasks.
- Demonstrated professionalism, integrity, and confidentiality in handling sensitive data.

Minimum Qualifications
High school diploma or high school diploma equivalency is required.
Preferred Qualifications
Prior experience in education is preferable but not required. Prior experience in data entry, administrative support, or educational settings is desirable but not required. Pursuing or possessing a degree in a relevant field.
