Administrative Assistant
Position Summary:
Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for the Physics & Astronomy department within the School of Arts and Sciences. Under the supervision of the Senior Department Administrator, responsible for various administrative services.
Among the key duties of this position are the following:
- Prepares and processes documents necessary for appointments.
- Assists with travel, reimbursements, seminars, appointment schedules, website updates and a variety of other tasks.
- Assists in the hiring processes for various employee types.
- Handles confidential documents and addresses and resolves problems as appropriate.
- Assists in the preparation of various department reports and databases.
- Prepares purchase requisitions and journal entries as necessary.
- May be required to assist with processing visa paperwork.
Minimum Education and Experience:
A bachelor's degree, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, organization, coordination, facilitation, etc.
Physical Demands and Work Environment:
Must possess the ability to work effectively in a hectic environment of multiple concurrent tasks.
Special Conditions:
This position is eligible for a hybrid work arrangement where the successful candidate may work 1-2 day(s) per week at an alternate work location.
