St. Catherine University and the School of Nursing invites applications for a full-time Administrative Assistant position.
The Administrative Assistant provides comprehensive support to the School of Nursing and its Deans, ensuring the efficient operation of departmental programs and initiatives. The position manages key administrative responsibilities in alignment with School of Nursing standards and collaborates with internal and external partners to maintain seamless daily operations.
Responsibilities Include:
- Supervise School of Nursing Admin team including facilitation of regular meetings, time card and leave approval, and annual performance evaluations.
- Delegate administrative support duties as necessary within the administrative staff team.
- Provide administrative support to the Dean of Nursing including coordination and management of calendar and appointment scheduling.
- Maintain data integrity in nursing online document storage site and manage meeting documents and minutes.
- Prepare reports for internal and external stakeholders using reporting software.
- Take meeting minutes and distribute agendas and minutes for designated committees.
- Manage printing requests and create electronic copies of department forms.
- Support Deans and program directors during accreditation visits.
- Organize and coordinate annual and adjunct faculty contract submission process for the school.
- Assists with budget, prepares, assures accuracy and submits purchase requests and reimbursement requests from faculty and staff, and maintains budget records.
- Coordinates purchases, fees, and other payment requests for the school.
- Manages the departmental charge card and approves office supply purchases with the SoN administrative staff.
- Communicates with prospective and current students and alumni.
- Communicates accurate information about the nursing programs offered by the School of Nursing to students, faculty, and other external audiences.
- Manages database and submits MERC grant information to MN Department of Health.
- Assists POS directors with educational requests from alumni (i.e., verification of clinical hours, program of study requirements, Board of Nursing forms, etc.).
- Assists with hiring and supervision of student workers.
- Coordinate and assist with nursing events and related logistics.
- Design, print, and distribute materials for on-campus events.
- Manage office supply orders, mail distribution, and catering requests.
- Provide basic IT troubleshooting and update website content.
- Manage small-scale projects related to events and marketing initiatives.
- Support marketing efforts.

Minimum Qualifications:
- High school diploma or GED.
- Three years of experience as an administrative assistant or in a similar role supporting leadership, or an equivalent combination of education and experience.
- Strong attention to detail and accuracy, including proofreading skills.
- Excellent interpersonal, communication, and conflict management skills, with the ability to work effectively with faculty, staff, students, and external partners.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Proficiency in MS Office, Google products, and other basic office software; ability to learn new systems as needed.
Preferred Qualifications:
- Experience with project management or coordinating multiple initiatives.
- Familiarity with grant budget management or tracking.
- Advanced proficiency in computer applications, information technology, or e-marketing platforms.
- Experience supporting academic programs or administrative functions in higher education.
- Experience managing student compliance, accreditation processes, or program-specific reporting.

Compensation: The salary range is $47,132-51,500 depending on qualifications and experience.

Actual compensation will be determined based on qualifications, experience, skills, and other relevant factors.
