Administrative Assistant
Job Summary
The Rollins College Department of Student Center for Community and Connections is seeking a part-time, action-oriented Administrative Assistant. This role involves managing communications, scheduling, event coordination, record-keeping, and serving as a liaison between the center, students, faculty, and external stakeholders from various backgrounds. The ideal candidate is organized, detail-oriented, and deeply invested in creating a campus culture where all students—especially those from historically underserved communities—feel seen, supported, and celebrated. The Administrative Assistant serves as the first point of contact for the center.
Primary Responsibilities
- Manage Dean's calendars, schedule meetings, and coordinate logistics for events, workshops, and programs
- Maintain organized filing systems (digital and physical) for records, reports, and correspondence
- Assist with budget tracking, purchasing, and processing invoices and reimbursements
- Prepare and edit documents, reports, presentations, and communication materials
- Support data entry and reporting for center activities and assessments
- Coordinate travel arrangements and itineraries for staff and guest speakers
- Maintain inventory of office supplies and equipment, place orders
- Monitor and supervise student workers
- Collaborate with other departments and administrative units across the college
Minimum Qualifications & Education
- High School diploma or equivalent
- Two years of administrative or office support experience
- Possess a valid driver's license, or ability to obtain a Florida driver's license within 30 days of accepting the job, and an acceptable motor vehicle record (MVR)
Preferred Qualifications
- Associate's degree from an accredited College or University
- Experience with scheduling software and/or CRM systems
- Experience with social media platforms
- Familiarity with basic bookkeeping or accounting tasks
- Ability to work independently and as part of a team
Knowledge, Skills and Abilities
- Proficiency with computers and Microsoft Office Suite software
- Strong problem-solving skills and the ability to interact tactfully and judiciously with the public, students, and staff
- Excellent oral and written communication skills for maintaining and updating files, logs, reports, and correspondence
- Ability to prioritize tasks and manage multiple demands efficiently
- Effective organizational and time-management abilities
- Ability to handle confidential information with integrity
- Professional demeanor and customer service orientation
- Supportive of populations who come from underrepresented background (Students of color, First Generation students, and LGBTQ+ individuals)
Work Schedule
The Administrative Assistant role is a part-time, 12-month appointment, scheduled to work 20 hours per week, 1,040 per year. Flexible schedules and/or overtime may be required.
Work Environment
Campus-based, front-facing customer service position, working in an office environment with other staff members. Work requires lifting/carrying materials. Regular use of a computer and databases.
