Job Summary

Reporting to the Executive Assistant, the Coordinator provides advanced, confidential and daily operations support in the office of the Vice President of Enrollment Management Services. This position requires persistent and consistent follow-up, attention to detail, frequently handles sensitive and/or highly confidential material; organizes, prioritizes, and triages; is proactive and anticipates, and is a vital member of a team responding to internal and external demands. This position will also provide support to the Enrollment Management Services division. The Coordinator plays a key role in fostering a positive work environment with the expectation of continuous improvement and first-class customer service. This position participates in divisional activities as a member of the Enrollment Management Services Division. Collaborative and team-oriented skills with a commitment to student success are essential attributes to this position.

Responsibilities

  • Provides administrative support and assistance to the Executive Assistant in the Office of the Vice President of Enrollment Management Services (EMS) and departments within EM Services, including making appointments, scheduling meetings, maintaining calendars and email and ensuring follow-up.
  • Prepares correspondence, presentations, charts and coordinate various activities or events involving several different constituencies for staff members. This includes handling of confidential information.
  • Manages division budgets and budget-related transactions and budget ledger maintenance which includes multiple departments within the division; heavy purchase card management / reconciliation; this position holds a P-Card.
  • Maintains efficient management of the office to include front VP suite operations, place, answer, screen and direct telephone calls providing information or referral as needed, manage repairs, order and track supplies for EMS division, provide customer service and office maintenance. Maintain office files in accordance with best practices in document retention and destruction guidelines.
  • Assists with processing invoices and departmental charges; assist with travel related arrangements, including Travel Prior approvals, registration, airline reservations, car rentals, hotel reservations, expense reports for reimbursement, etc.
  • Applies advanced technical expertise and professional judgement to carry out leadership direction while supporting and advancing organizational objectives.
  • Assists with the coordination and execution of departmental activities and events. This includes securing the event location, event setup as necessary, scheduling presenters, maintaining the RSVP list and making catering arrangements. Also, attending various events/meetings.
  • Travels to various campus buildings or off site locations and performs occasional errands related to operational needs, including purchasing or returning supplies and materials.
  • Performs tasks and other duties as assigned generally required to be in-person with some work extending outside of normal weekly business hours. Remote work options may be granted at supervisor's discretion.

Required Qualifications

  • 2 Year / Associate Degree or equivalent combination of education and experience
  • 3-5 years of previous administrative assistant experience
  • 3-5 years of proficient experience in budget management
  • 3-5 years of proficient experience with Microsoft suite products

Preferred Qualifications

  • 4 Year / Bachelor's Degree
  • 3+ years of high degree of proficiency with all MS Suite applications
  • 3+ years of experience in a fast-paced, detail-oriented environment
  • Seven or more years of previous administrative assistant experience
  • Experience with PeopleSoft
  • Experience in a Higher Education setting
  • Proficient in USG BOR and state purchasing guidelines and processes

Proposed Salary

42,100 - 50,500

Salary offer will be dependent on candidate's experience and qualifications, internal equity considerations, budget availability, and salary administration guidelines.
