Job Description Summary
The Administrative Coordinator serves as part of the administrative support team for the University Life central office appropriately directing and/or responding to student, parent, and other inquiries, and covering front desk duties for 3611 Locust Walk office location and serve as a back-up to the 3935 Walnut office location. The ability to balance multiple priorities, handle confidential, highly sensitive information, and manage administrative projects, is essential in this position. The tasks performed by this position are critical and require great attention to detail, ability to manage and report on multiple tasks.
Job Responsibilities
- Provide executive-level administrative support to two University Life senior leaders. Serve as primary liaison for AVP/Executive Director, including calendar coordination and meeting planning; preparing and managing correspondence; data analysis and reporting work; coordinating travel arrangements; and preparing and approving expense reports
- Perform administrative duties to support the operations of University Life departments, including the resource cultural centers and strategic planning and operations units
- As part of the administrative office team, assist with general office duties for the University Life central office, including staffing the front desk of the 3611 Locust Walk building, receiving visitors and meeting attendees; triaging phone calls; and participating in the planning and execution of departmental and division-wide events, including meetings, retreats, and other special events
- Support all aspects of meetings, including circulation of meeting agendas; room reservations; catering; posting/delivering meeting materials; and taking and circulating meeting minutes when needed
Qualifications
- Bachelor's and 2 to 3 years of experience or equivalent combination of education and experience is required
- Experience with Penn's financial systems (BEN, CONCUR, etc.) preferred
- Strong knowledge of Microsoft Office suite
- Demonstrated strong interpersonal communication skills
- Excellent oral and written communication skills
- Excellent organizational skills
- Ability to work under pressure and manage competing priorities
- Ability to multitask and meet deadlines
- Ability to work independently as well as collaboratively
- Ability to receive and maintain confidential information
- Knowledge of the academic environment, particularly the University of Pennsylvania, is highly preferred
