Administrative Manager (HEA)
POSITION DETAILS
Reporting to the Director of Athletics, the Athletics Administrative Manager is responsible for overseeing the financial, administrative, and business operations of the Department of Intercollegiate Athletics. This role ensures sound fiscal management, accurate financial reporting, and compliance with NCAA, CUNY, and institutional policies. The Administrative Manager serves as the primary liaison with campus finance, procurement, and human resources offices, supports audits and reporting requirements, and provides operational leadership to ensure efficient and compliant athletics business operations.
The Athletics Administrative Manager duties include but are not limited to:
- Monitor the Athletics Department budget, including forecasting, expenditure tracking, reconciliation, and ensuring fiscal responsibility across all sports programs.
- Serve as the primary liaison with the college’s finance, procurement, and human resources offices on all athletics related business matters.
- In collaboration with the Athletic Director, develop, implement, and refine business processes to improve operational efficiency, internal controls, and fiscal accountability.
- Oversee athletics equipment operations, including purchasing, inventory control, vendor coordination, and distribution in compliance with institutional and NCAA guidelines.
- Ensure proper tracking, storage, and maintenance of athletics equipment for all teams and programs.
- Provide support to the Athletic Director in managing athletics-related contracts, including vendor agreements, service contracts, and licensing arrangements, ensuring compliance with CCNY, CUNY, and NCAA regulations.
- Prepare and submit Equity in Athletics Disclosure Act (EADA) reports accurately and within required timelines.
- Complete NCAA Financial Reporting requirements, ensuring data accuracy, documentation, and adherence to reporting deadlines.
- Maintain comprehensive records to support internal and external audits, compliance reviews, and financial reporting.
- Coordinate onboarding processes for athletics employees, including full-time staff, part-time staff, graduate assistants, and student workers.
- Support the Athletic Director in managing athletics payroll processes, including timekeeping, stipend payments, and compliance with institutional payroll policies.
- Serve as a resource to athletics staff regarding human resources procedures, payroll timelines, and employment requirements.
- Assist with internal and external audits and provide supporting documentation as requested.
- Support special projects and initiatives as assigned by the Director of Athletics.
- Stay current on NCAA, CUNY, and institutional policies impacting athletics business and financial operations.
QUALIFICATIONS
Bachelor’s degree and six years’ related experience required.
PREFERRED QUALIFICATIONS
Bachelor’s degree in Business Administration, Finance, Accounting, Sports Management, or a related field required, and six years related experience required.
Demonstrated experience in budgeting, financial management, or business operations required.
- Experience working in collegiate athletics or higher education administration.
- Knowledge of NCAA regulations, EADA reporting requirements, and NCAA financial reporting processes.
- Experience with payroll processing, employee onboarding, and HR coordination.
- Familiarity with CUNY systems, policies, and procedures.
- Strong organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities, meet deadlines, and operate effectively in a fast-paced environment.
- Proficiency with financial systems, spreadsheets, and reporting tools.

- Serves as Office Manager, supervising and training staff, managing financial operations and budgets, and coordinating technology, equipment, security, and building maintenance requirements.
- Represents management in meetings and activities related to department administration.
- Maintains archives, inventories, or collections of materials or records needed by the department.
- Works with fund-raising, marketing, technology, and other personnel to provide information and participate in Campus or University-wide initiatives.
- Collect information for, produce, and distribute department reports covering program, fiscal, and human resources issues
- Independently carries out unit activities such as approvals, student interactions, and participation in campus- or university-wide committees and projects.

COMPENSATION AND BENEFITS
Salary Range: $80,211 - $94,909. Salary commensurate with education and experience.
