Administrative Specialist

Administer contracts, budgets, purchases, payments, and payroll for domestic and international research projects under the supervision of the Director of International Research Partnerships. Manage communication and coordination between John Jay College, the Research Foundation of CUNY, and domestic/international partners and stakeholders. Coordinate and organize online and in-person events involving international guests and entities. Supervise and train support staff and student workers. Manage budgets and oversee purchasing, accounting, and payroll operations for domestic/international projects. Provide guidance and basic advice to faculty investigators and others regarding international/domestic funding opportunities, policies, and timelines. Perform other related duties as assigned.

Bachelor's Degree and four years' relevant experience required. Bachelor's degree in criminal justice, international relations, or political science and one year's related experience in international project management required. Fluency in both English and Spanish is essential. Proficiency in Portuguese or other regional languages may be an added advantage. Strong written and oral communication skills in these languages for reporting, coordinating with stakeholders, and navigating local administrative processes. Demonstrated experience managing or coordinating domestic and international research, development, or assistance projects, preferably in Latin America. Knowledge of domestic and international project cycles, budgeting, grant management, and donor reporting (especially for large organizations like the UN, IDB, or Department of State). Familiarity with domestic and international funding agencies and frameworks in the Latin American context. Understanding of domestic and Latin American political, social, and economic contexts. Experience working with government institutions, NGOs, or universities in the regions. Sensitivity to the cultural, social, and economic nuances of different Latin American countries. Strong organizational skills, including the ability to manage multiple projects, track deadlines, and meet compliance requirements. Proficiency with project management software and tools (e.g., MS Project, Trello, Asana). Financial acumen for budgeting, accounting, and managing funds, especially in international settings. Strong networking and relationship-building capabilities with stakeholders, including domestic and international donors, researchers, and governmental agencies. Diplomacy and negotiation skills to manage conflicts and align diverse stakeholder goals. Knowledge of M&E frameworks for domestic and international projects, including the ability to design, implement, and report on project outcomes.

Provides administrative and program support to an administrative or academic department. Oversees department operations and assists management in planning department activities, creating schedules, assigning staff and preparing and delivering department communications. Works with appropriate offices related to personnel recruitment, expediting search activities. Coordinates and organizes materials for key events such as promotion and tenure reviews. Supervises and trains support staff and student workers. Manages budget and coordinates purchasing, accounting, and payroll. Provides instructions and basic advice to students, faculty, and others seeking information on department activities, policies, and schedules. Performs related duties as assigned.
