Administrative Specialist - Operations - Du Bois Bunche Center for Public Policy
POSITION DETAILS
Medgar Evers College (MEC), a nationally recognized leader in urban-serving education, is one of twenty-three colleges within the dynamic City University New York (CUNY) System. Named for the late civil rights leader, Medgar Wiley Evers (1925-1963), the College's mission is to develop and maintain high quality, professional, career-oriented undergraduate degree programs in the context of liberal education.
Reporting to the Academic Center Manager, the Administrative Specialist of Operations is responsible for overseeing the daily administrative, financial, and programmatic operations of the Du Bois Bunche Center for Public Policy at Medgar Evers College. Reporting to the Academic Center Manager, the incumbent ensures that the Center’s research, community engagement, and public policy initiatives are implemented efficiently and in compliance with College, CUNY, and funding agency requirements.
Other duties include:
- Provide administrative and operational support for the day-to-day functioning of the Du Bois Bunche Center, focusing on internal processes and workflow coordination.
- Implement and maintain standard operating procedures related to office administration, scheduling, documentation, and internal compliance.
- Support budget administration by tracking expenditures, reconciling accounts, and preparing financial documentation in accordance with CUNY and funding agency requirements.
- Process purchasing, reimbursements, and procurement requests, and maintain accurate fiscal and administrative records for audits and reporting.
- Coordinate logistics for Center activities and events, including space reservations, materials preparation, vendor coordination, and on-site support.
- Coordinate with external organizations, community partners and research institutions to conduct polling, data collection, and policy research aligned with the Center’s mission.
- Track timelines, deliverables, and reporting requirements for grants, contracts, and internally funded projects, and prepare draft administrative reports as needed.
- Maintain internal databases and records related to projects, staffing assignments, events, and compliance documentation.
- Provide administrative coordination for student assistants, interns, and fellows, including onboarding, scheduling, timekeeping, and task tracking.
- Draft and compile routine correspondence, summaries, and administrative materials for internal use and funder reporting.
- Support internal communications and outreach efforts by updating calendars, maintaining web or digital content, and assisting with promotional logistics as directed.

This is a grant-funded position. Continuation is contingent upon the availability of grant funding.
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required.
Preferred Qualifications:
- Master’s degree in Public Administration, Nonprofit Management, or related discipline.
- Experience working within a higher education or public policy environment.
- Knowledge of CUNY financial and procurement systems.
- Demonstrated ability to manage grants, budgets, and community-based initiatives.

COMPENSATION AND BENEFITS
Salary commensurate with education and experience.
$61,831 - $74,490
