Accountancy
The Department of Accountancy in the Gies College of Business is a unit that serves the accounting profession and the community by providing global leadership in the accountancy discipline. The Admissions and Records Officer will perform key administrative duties that serve prospective and current students and support in the administration of the PricewaterhouseCoopers Accountancy Student Center.

Job Summary

The function of this position is to assist in the administration of the PricewaterhouseCoopers Accountancy Student Center in the Department of Accountancy.

Duties and Responsibilities

Admissions

  • Process applications and make admission decisions for the 1st stage of the Master of Accounting Science (MAS) program. Identify and forward applications that require further review. Prepare and send decision letters in Slate, ensuring timely processing of acceptances. Add the attribute code for the students entering the program in Banner.
  • Support the admissions process for the MAS program by preparing complete application files in Slate, verifying applicant data, and maintaining accurate records for committee review. Forward applications to the committee, generate and send decision letters in Slate, submit admission referral forms, and ensure timely processing of acceptances.
  • Respond to email inquiries from prospective and admitted students regarding admissions, scholarships, registration, and general MAS program information, providing accurate information or routing to the appropriate staff member as needed.
  • Maintain admissions workflow timelines to ensure applications move efficiently through each stage of review.
  • Proactively monitor applicant records and follow up with students regarding missing or incomplete materials.
  • Coordinate graduate concentration admissions decisions by compiling applicant information, drafting a decision outline, delivering decisions letters in Slate after review by Recruiting and Admissions lead, and submitting associated referral forms. Collaborate with Academic Advisors and other stakeholders throughout the process.
  • Work directly with admitted international students to obtain required proof of funding documentation and coordinate with the Graduate College to ensure timely issuance of I-20s.
  • Contribute to enrollment and yield initiatives by conducting outreach through call campaigns, personalized communications, and follow-up efforts to prospective and admitted students, as needed; document all interactions in Slate.
  • Support with onboarding communications for newly admitted students, including next-step guidance related to registration, funding, and program requirements.
  • Assist in processing graduate concentration changes and admission deferral requests by gathering documentation, updating records, and preparing files for review and decision by the Recruiting and Admissions lead.
  • Maintain records of MAS 1st Stage (5-year students) and MAS applicants.
  • Prepare admissions reports in Slate, EDDIE/Business Objects, and other systems as requested by faculty and staff.

Registration

  • Monitor course registration activity with the Course Eligibility Audit (CEA) application and other reports to ensure compliance with prerequisites. Identify anomalies (e.g., seat holding, pending transfer credits), and coordinate with the Gies Office of Undergraduate Programs or other departments/colleges to resolve issues. Communicate required registration changes to students and provide guidance as needed.
  • Support registration process by assisting students with questions or issues related to registration and academic procedures and policies, ensuring timely resolution and accurate guidance.
  • Maintain knowledge of the course scheduling process and related restrictions to serve as a departmental backup in the absence of the primary scheduler.
  • Serve as a back up to approve online grade changes on behalf of Department Head.

Scholarships/Awards

  • Support the MAS 1st stage scholarship process by compiling data, reviewing applications, preparing award decisions for review, issuing award letters, and tracking awards in Slate and Box.
  • Support MAS funding decision process by assembling applicant information, preparing queries and reports of applicants in Slate, verifying eligibility against establish criteria and providing accurate data sets for decision making. Issue award letters and enter final award outcomes into Slate.
  • Enter MAS 1st stage and MAS scholarship awards into the Office of Student Financial Aid Departmental Award Web System (DAWS) and submit for departmental approval.
  • Enter fellowship awards into the Fellowship Processing System; monitor their progress and coordinate with students and the Graduate College Fellowship Office to ensure timely processing of appointments.

General Administration

  • Prepare and maintain reports on admissions, enrollment, and funding activity using Slate, EDDIE/Business Objects, and departmental databases.
  • Create, update, and manage departmental records and files to ensure accuracy, accessibility, and confidentiality.
  • Draft and edit correspondence, Slate mailings, reports, and other documents, ensuring proper format and accuracy in grammar, punctuation, and structure.
  • Initiate follow-up communications (phone or email) as needed to obtain, verify, or clarify information.

Minimum Qualifications

  1. High school diploma or equivalent.
  2. Any one or combination totaling three (3) years (36 months) from the categories below:
    A. course work in any discipline as measured by the following conversion table or its proportional equivalent:
    30 semester hours equals one (1) year (12 months)
    60 semester hours or an Associate's Degree equals eighteen months (18 months)
    90 semester hours equals two (2) years (24 months)
    120 semester hours or a Bachelor's degree equals three (3) years (36 months)
    B. work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

  • Bachelor's degree with work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Knowledge, Skills and Abilities

  • Proficiency in Microsoft Office Suite; Banner, EDDIE/Business Objects, Adobe, and Slate.
  • Excellent communication skills.
  • Strong attention to accuracy and detail.
  • Aptitude for working with data and preparing reports and records.
  • Excellent organizational, planning, and clerical skills with the ability to manage administrative processes efficiently.
  • Ability to exercise independent judgment and initiative to manage multiple priorities and deadlines while working independently or collaboratively with team.
  • Ability to use discretion in handling confidential information.
  • Service-oriented mindset and strong interpersonal skills to work with students, faculty, staff, and administrators.

Appointment Information

This is a 100% full-time Civil Service 2756 - Admissions and Records Officer position, appointed on a 12-month basis. The expected start date is as soon as possible after search close date. Salary is competitive and commensurate with qualifications and experience while also considering internal equity. The budgeted salary for this position is $47,000 to $50,000.

This position is not eligible for any type of sponsorship.

Hybrid work options may be available for this position; however, must be available to be onsite at the University of Illinois Urbana-Champaign campus based on operational needs.
