Receptionist
Welcome prospective students and their families.
- Greet prospective students visiting campus and others coming to the Office of Admission reception area. Stay up to date on facts about the college to answer basic questions from campus visitors. Assist visitors with basic admission processes and calendar and redirect inquiries to members of the counseling staff when appropriate. (25%)
- Manage the Office of Admission reception area and ensure that marketing materials are well stocked, refreshments are available, and the space is presentable and welcoming to guests. Track inventory and order replacement supplies, when necessary. Anticipate and plan for upcoming calendar to prepare marketing collateral, signage, and other materials needed to support upcoming group visits or campus events. (25%)
- Coordinate with the Visit Experience Coordinator to understand and manage different events and staffing coverage. Assign counselors and Fellows to interview coverage and locations. Manage tour departures from the reception area, matching tour guides with groups of families, sending out groups on a rolling basis. Liaise with Friars Club to provide updates on changes to visit plan/request additional coverage when demand exceeds expectation. (20%)
- Serve as supervisor (along with colleague) for team of student employees. Interview, hire, and training student workers; manage and approve time sheets. Coordinate coverage of their responsibilities as well as communicate consistently with his team. Ensure consistent coverage of reception area in absence of assigned students. (20%)
- Assist with clerical tasks performed by the Office of Admission's operation staff, including data entry, credential processing, and answering of inbound phone calls. Serve as receptionist for Sr. Associate Vice President for Enrollment Management. Answer phone and determine appropriateness of putting through the caller. (10%)
MARGINAL DUTIES:
- Perform all other duties as may be required.
- High School education or equivalent
- One to three years of customer service experience or equivalent combination of education and experience
- Ability to multi-task due to interruptions by campus visitors in the middle of working on other tasks
- Ability to provide strong customer service skills
- Ability to work on several projects at the same time and see them through to completion
- Ability to work some weekends
- Ability to determine urgency of requests and act accordingly
- Must have basic experience with Microsoft Office suite
