Allied Health Program Coordinator

Position Summary

The Allied Health Program Coordinator provides comprehensive administrative support and coordination services for the Public Service, Behavioral Health, and Health Sciences programs. This position requires substantial autonomy and decision-making responsibility to manage office support systems, coordinate clinical placements, internships, and service-learning opportunities, and ensure compliance with regulatory and accreditation standards. The coordinator serves as a liaison between program departments, external agencies, and clinical partners while providing direct student support and program administration.

Overview of CCA

The Community College of Aurora serves our diverse community by providing high-quality instruction and support services to prepare students for transfer and employment. Duties & Responsibilities

Program Administration and Coordination

  • Provide office management responsibilities by analyzing and resolving day-to-day problems on urgent and routine matters relating to students, prospective students, faculty, and staff across all three program departments
  • Assist the Dean in overseeing operations across Public Service, Behavioral Health, and Health Sciences programs
  • Coordinate, initiate, and process contracts to generate payments for departmental staff across multiple programs
  • Reallocate approved budget transfers between authorized org codes in Banner
  • Serve as liaison for program departments to other college divisions and external agencies
  • Take action on approved decisions on behalf of program directors and provide administrative support across the division
  • Purchase and maintain inventory of student and faculty uniforms, textbooks, laboratory supplies, medical equipment, simulation materials, and office supplies in compliance with state purchasing regulations
  • Provide reports for recertification as needed
  • Update program information, flyers, and other marketing materials through the strategic communication department process
  • Facilitate routine correspondence with prospective students including targeted emails, flyers, direct marketing, and recruiting duties
  • Notify external agencies of semester course schedules/information/exams with external agencies (EMSAC, NREMT, state boards, certification bodies, etc.)
  • Oversee and support student workers within the Allied Health programs

Clinical Placement and Experiential Learning Coordination

  • Develop and maintain partnerships with healthcare facilities, fire departments, EMS services, behavioral health centers, laboratories, wellness centers, medical offices, and other community organizations to secure clinical placements, internships, externships, and service-learning opportunities
  • Ensure Clinical Education Agreements, Memorandums of Understanding (MOUs), and service-learning contracts are current and initiate renewal or new contract requests as needed
  • Review agreements and MOUs to ensure programs adhere to requirements and notify program directors of any changes
  • Act as liaison in consultation with faculty to interpret and match student and faculty needs with appropriate clinical experiences, internships, and service-learning placements
  • Collaborate with faculty to coordinate and schedule rotations, ensuring all students have appropriate placements that meet program requirements
  • Communicate placement plans in a timely manner, including dates, students, hours, preceptors, and site supervisors

Laboratory and Simulation Coordination

  • Coordinate and schedule laboratory sessions and simulation experiences across all programs
  • Maintain inventory of laboratory supplies, medical equipment, and simulation materials
  • Ensure laboratory and simulation spaces meet safety and regulatory standards
  • Schedule and coordinate equipment maintenance and calibration
  • Assist faculty with laboratory setup and preparation for hands-on learning experiences
  • Coordinate with facilities management for specialized laboratory and simulation space needs

Student Compliance, Documentation, and Reporting

  • Advise students and determine eligibility requirements are met for all program courses and certification requirements
  • Create, collect, and maintain student required documentation for certification, graduation, and program completion
  • Create and maintain confidential individual student files for required retention periods, scan when archived, and shred original documentation for security purposes
  • Process background reports (CBI, FBI) for students and verify they meet program requirements
  • Ensure student compliance documents are current by required deadlines (immunizations, CPR, background checks, drug screenings)
  • Coordinate specific training or assignments for students and faculty prior to experiences (HIPAA, OSHA, laboratory safety, agency-specific training)
  • Provide support to students in understanding requirements and expectations for completing and submitting documents
  • Assist students with problem-solving barriers in providing required program documents and refer to college resources as needed
  • Schedule information sessions for students related to paperwork completion, expectations, and requirement
  • Maintain accurate records of clinical placements, student evaluations, and clinical site feedback
  • Assist in submission of necessary documentation for accreditation and regulatory bodies
  • Assist departments in maintaining placement records in an organized fashion
  • Work with departments to keep clinical placement databases updated and accurate, in coordination with clinical faculty who oversee student placements and site communications
  • Prepare reports on placement activities, student progress, and site evaluations
  • Maintain files and records of all faculty, instructors, and students ensuring compliance with agency and regulatory requirements

Administrative Support

  • Act as minute taker for advisory boards and departmental meetings
  • Schedule meetings and appointments; arrange catering and set-up of events following state and college guidelines
  • Attend meetings (some outside normal work hours), take minutes and notes for assigned meetings
  • Make travel arrangements for division/departments and ensure compliance with state travel regulations

Technology and Systems Management

  • Use Microsoft Office and other programs (Banner, COGNOS) and computer systems to accomplish tasks
  • Work in designated applications for rotation and compliance setup as needed per clinical site and program
  • Initiate and track work orders for Academy Support Team, IT, facilities, and other areas as requested
  • Support the library and resource circulation process

Required Qualifications

  • Completed associates degree from a regionally accredited institution
  • Two years of professional experience in academic or clinical setting, particularly in program coordination
  • Demonstrated ability to work cooperatively with people from a variety of backgrounds, and willingness to engage in professional development activities to improve understanding and effectiveness of working with racially, culturally, and linguistically varied populations
  • Strong proficiency in word processing and spreadsheet software, with demonstrated ability to quickly learn and adapt to new software systems as needed

Supplemental Information

Salary Range: Anticipated starting salary is $56,284.81 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan, including generous leave, holiday, and education benefits. Full time employees immediately upon hire earn 15 hours a month annual leave and 10 hours a month sick leave.
