Assistant Dean, Graduate School of Arts & Sciences

Overview

The Assistant Dean reports to the Dean of the Graduate School of Arts and Sciences (GSAS), with a secondary reporting line to the Faculty Director of the Biological and Biomedical Sciences (BBS) Program. Plays an essential role in advancing strategic and tactical priorities for GSAS programs, particularly the BBS Program.

  1. Represents the school on major University programs, committees, and projects.
  2. Tracks BBS student funding and creates and manages funding guidelines for program registrars and departmental business offices.
  3. Supervises staff for the Institutional Training Grant hub that supports NIH T32 training grant applications, progress reports and renewals. Leads mentor training workshops to meet NIH requirements.
  4. Oversees BBS recruitment and admissions, including data modeling for setting recruitment targets and analysis of admissions outcomes. Also manages new student orientation programming.
  5. Analyzes student academic and career outcomes data, tracks faculty participation data, and manages teaching fellow process.
  6. Supervises BBS staff and supports the BBS Executive Committee
  7. Addresses queries from faculty and chairs the GSAS Direct Assignment committee.
  8. Administers the BBS fellowship competitions and the GSAS Gruber Science Fellowship program and serves as the GSAS Conflict of Interest third party resource to students and postdocs.
  9. Performs other duties as assigned.

Required Skills and Abilities

  1. High emotional intelligence, excellent interpersonal and communication skills, and ability to handle challenging and emotional situations.
  2. Demonstrated organizational leadership and management skills, including staff supervision.
  3. Proven ability to develop and manage complex initiatives with flexibility, good judgment, and confidentiality.
  4. Strong data analytic experience.
  5. Strong communication and listening skills.
  6. Ability to work effectively with a wide variety of constituencies and maintain a respectful and inclusive community.

Preferred Skills and Abilities

  1. Ph.D. in Biological sciences and minimum of two years’ experience in higher education administration, experience working with students, faculty, and university administration; or an equivalent combination of education and experience.
  2. Familiarity with doctoral education in the biological sciences and with NIH T32 training programs.
  3. Experience with academic tools including Banner, Argos, and Workday.
  4. Experience in student support in a selective academic environment.

Principal Responsibilities

  1. Counsels and advises students on academic and personal matters. Provides resource information and ongoing consultation to meet specific student needs.
  2. Formulates, affects, interprets, and implements policies and procedures relating to student progress in the school. Advises students concerning the policies of the school and to assist them in meeting administrative and academic requirements.
  3. Manages internal and external competitive fellowships; evaluates applications and determines student awards.
  4. Researches and identifies fellowship announcements to increase resources for student funding. Selects and recommends appropriate fellowships for students.
  5. Directs the admissions process for non-degree students. Evaluates student applications and makes selection decisions. Assists with the management of other admissions processes.
  6. Serves as liaison to departments dealing with academic affairs. Provides senior level administration and assistance to the Associate Dean and the Dean of the school.
  7. Serves as primary liaison for Association of Yale Alumni and Office of Development.
  8. Manages overall communications including the management of content production, writing and editing original content, graphical layout and design, and publishing via social media and website.
  9. Works on special events in the capacity of providing communications planning.
  10. Represents the school on committees and in meetings and assumes responsibility for functions in the absence of the Associate Dean or upon request.
  11. Manages projects and initiatives as requested.
  12. May perform other duties as assigned.

Required Education and Experience

Master’s Degree in related discipline and two years of experience in teaching and/or administration at the college or graduate level or an equivalent combination of experience and education.
