Job Summary
The Assistant Director of Enrollment Operations provides management, oversight, reporting, and organization for the Slate CRM from Technolutions. The Assistant Director coordinates the planning and implementation of CRM-related projects and provides customer support, including onboarding and continual training to teams of functional users. They develop reports and complex queries for strategic data-driven decision-making. Through strategic partnerships, attention to data and details, and effective communication with internal and external stakeholders, the Assistant Director ensures alignment with the University's enrollment goals. The role is a key contributor in reaching overall enrollment goals. They evaluate alternatives to general business practices and determine methods to streamline and/or automate processes. This position reports to the Director of Enrollment Operations and oversees administrative functions within Enrollment Management. This position is defined as an exempt position under FLSA regulations.
Specific Responsibilities
CRM & Data Management
- Assist the Director of Enrollment Operations with the Division's CRM needs, supporting the implementation of designs, strategies and best practices, and assessing plans for future needs.
- Build and maintain the data framework and ensure data integrity for all admission and enrollment management processes, including data entry, import/export, retrieval, and audits.
- Design, produce, and maintain reports, information queries, enrolling student portal, forms, and communications within the CRM to support recruitment, enrollment, and information sharing.
- Provides technical assistance and leads Slate functionality requests (develop and maintain queries, reports, portals, etc.) for the admission team and campus partners.
- Support the integration of Slate with Ellucian Colleague, Front Rush, other vendors, and campus information systems; integrate new vendors for successful file transfer and import, collaborating with IT to create SSH key pairs.
- Ensure CRM data integrity, provide analysis of key reports to various on- and off-campus constituents, and develop and maintain CRM audits to ensure accuracy.
- Ensure the security and confidentiality of student records, in partnership with the University's Office of Information Technology, and work closely with the Director of Enrollment Operations, AVP of Admission, VP for Enrollment, and IT to communicate and resolve systems challenges.
Admissions Operations & Application Processing
- Provide assistance with inquiry and application data entry and related tasks for undergraduate admissions and financial aid during peak seasons.
- Organizes the receipt and review of academic credentials for admission of applicants; enter inquiry and application data, scans and index confidential materials, ensuring confidentiality and accuracy.
- Contributes to how applications are submitted, imported, acknowledged, completed, reviewed, and integrated into the University's Student Information System.
- Maintain applicants, admit, and enroll student portals and all associated forms and communications; work with campus partners to ensure timely activation of various River Hawk Portal checklist items.
- Build and maintain Slate-hosted domestic and international student applications and all coinciding communications to applicants and high school counselors.
- Maintain Slate-hosted graduate Teacher Intern and M.Ed. applications and all coinciding communications to applicants and references.
- Create and maintain process for electronic submission of Art & Design portfolios, Creative Writing portfolios, and online music audition registration and non-music-major registration; coordinator with department heads or program coordinators on review processes and automatic communications confirming admission, as well as promotional communications for auditions.
Training & Documentation
- Develop and maintain an archive of training materials and reference guides for end users, procedures manual for staff, and documentation of policies.
- Create accounts for new Slate users and provide training for new staff in Admission and across campus who are new users of Slate.
Strategic Support & Collaboration
- Serves as a key member of the operations team-assessing departmental needs, recommending digital solutions, and updating procedures accordingly.
- Keep current with document management technology trends, as well as peer school trends and practices in the collection, retention, and usage of data; recommend CRM and process changes to improve business practices.
- Work closely with the Director of Enrollment Operations, AVP of Admission, VP for Enrollment, and the Office of Information Technology to communicate and resolve systems challenges.
- Work with the Director of Enrollment Operations, AVP of Admission, VP for Enrollment to implement new scholarship/grant initiatives in Slate and admission letters.
- Build and provide various datasets for partnering vendors.
Event & Registration Support
- Create external registration forms and associated communications for campus partners (summer pre-college programs, high school sales competitions, creative writing day, etc.) and report registration data.
- Prepare and work registration at prospective and admitted student events.
- Collaborate with student life and residence life on facilitating first-year roommate matching and announcing fall housing assignments to new students.
- Assist the Director of Enrollment Operations with move-to-student process, preparation for new student course scheduling, the major change process, etc.
Minimum Qualifications
Education
Bachelor's degree required.
Experience
1-2 years of work in admission and with a CRM required, with experience working with Slate preferred.
Knowledge, Skills, Abilities
Knowledge of CRM functionality and workflows; knowledge of admissions and enrollment processes for undergraduate, graduate, and pre-college programs; knowledge of data management, data integrity, security, and confidentiality requirements; knowledge of student information systems, including Ellucian Colleague, and integration with external vendors; knowledge of document management technology trends and peer school practices. Skills in building, maintaining, and optimizing reports, queries, portals, and forms in Slate; skills in data entry, import/export, workflow automation, and CRM audits; skills in providing training, onboarding, and creating documentation for staff and end users; skills in effective communication and collaboration with internal and external stakeholders; technical problem-solving and troubleshooting skills for CRM system integration.
Ability to analyze enrollment data to support strategic decision-making; ability to streamline and automate processes to improve operational efficiency; ability to ensure accuracy, integrity, and security of data; ability to manage multiple projects and priorities, especially during peak admissions cycles; ability to adapt CRM systems and processes to evolving institutional needs.
